Splitting a bill pay transaction by location

I have class and location tracking turned on in QBO. But I’m getting inaccurate Balance Sheet reports when I generate a Balance Sheet that’s filtered by location.

I suspect the problem may be arising when I pay multiple bills with one transaction. There isn’t any way to select a location with bill pay but I assumed that QBO would use the location that was already entered on each bill for an accurate split. This doesn’t seem to be the case. Does anyone have experience with this?

Splitting a bill pay transaction by location

Thanks for the clarification, John. I'm here to provide details on how Bill Pay works in tracking your payments in QuickBooks Online (QBO).

Currently, the Bill Pay function won't split transactions by location when paying multiple bills simultaneously.

Furthermore, QuickBooks stores data per transaction. Thus, if you pay multiple bills with Bill Pay, the amounts won't be split by location. So to monitor your expenses by business location, I'd recommend running and customizing the Purchases by Location Detail report. Go to the Standard tab in the Reports menu to do so.

Moreover, if you wish to know more about how you can use QuickBooks Bill Pay, please see this article: Learn about QuickBooks Bill Pay for QuickBooks Online.

Also, would you like to know how much you're paying each vendor every month? This article will guide you through the process: Run and save a monthly expense report by vendor.

If you have additional concerns about the Bill Pay and location features or questions about managing your bills and expendetures, don’t hesitate to revisit the Community. We’re here to assist you further.

Splitting a bill pay transaction by location

Hello there, John. Let me share information about splitting bill pay by location to ensure an accurate Balance Sheet report in your QuickBooks Online (QBO).

The data shown on reports in QuickBooks depends on how you record your transactions and the filter settings you apply. When generating the Balance Sheet report, let's ensure you've entered the correct reporting period, customizations, and accounting method.

If you find a discrepancy in the report, you can click on the transaction amount to identify what's causing the inaccuracy. This will help you review the transaction and make any necessary corrections to fix the issue.

Additionally, if you pay multiple bills with Bill Pay, the amounts will not be split by location.

Furthermore, you can review this article to learn about changing the layout and applying filters to view only the information that is relevant to you: Customize reports in QuickBooks Online.

Feel free to reply below if you need further assistance running reports in QBO. The Community and I will be here to help you.

I don't think you've really understood my question. In simple terms, does the bill pay function split the transaction by location when paying multiple bills simultaneously?

Okay, that helps. I'll be sure to only pay bills from the same location per transaction. I see that there's also a filter to identify the bills by location.
