Assigning multiple Workers Compensation class codes to employee's Time in QuickBooks Online Advanced

In Q4 of 2024 we migrated our company from QBDT (including Desktop Payroll) to QBO Advanced, where we are using the bookkeeping, Payroll Elite, QB Time Classic, and Live Expert Assisted products/services.

In our business, we have employees whose duties shift across multiple Workers Compensation class codes. In QBDT, we were able to track this when we entered employees' time into QBDT.

Now that we are in QBO, it appears we no longer have this capability -- to assign Workers Compensation class codes as we enter their hours into QB Time to produce verifiable time records for Workers Comp insurance. Has anyone else in the Community found this to be true?

Or, (question for Intuit) which Intuit Support group should I be contacting to get a better understanding on this question, since it involves multiple QB products -- should I be contacting Priority Circle, QB Time, my QB "Account Exec" who upgraded us to the Online products, or some other group?

If anyone in the community sees this post and has a solution for how to use the QB products I have, to assign and track hours by Workers Compensation class codes, would be thankful for your input.

Assigning multiple Workers Compensation class codes to employee's Time in QuickBooks Online Advanced

Thank you for turning to the Community for support, @MK_APWC. I'm here to assist and provide clarity regarding tracking and assigning worker's compensation class codes in QuickBooks Time.

Currently, there isn't a feature available to assign worker's compensation codes directly when entering employee hours in QuickBooks Time.

However, in QuickBooks Online (QBO), you can designate your workers' compensation directly for your employees. Since you're using QBO Advanced, you can consider utilizing either the class tracking or integrating the Pay As You Go feature.

Furthermore, to get a closer look at your business, you can always run, print, and customize payroll reports in QBO.

Please don't hesitate to contact the Community for more help with tracking your workers' compensation class. We are available around the clock to assist you.

Assigning multiple Workers Compensation class codes to employee's Time in QuickBooks Online Advanced

I have this same issue and my employees cannot always have the same workers comp code as they are doing different construction jobs and the cost of workers comp is different for each one. Why did we go backwards and lose this feature when changing to QBO? This is not acceptable.  I am not going to switch to getting workers comp through QuickBooks as I am happy with my current state worker's comp policy.

Being able to assign multiple worker's comp codes to your employees is a good idea for managing your business, Hc. I'll provide two scenarios below to help you address your concern.

If you used QuickBooks Desktop before and switched to QuickBooks Online (QBO), please note that they are separate platforms and so have different features. In QuickBooks Desktop it's possible to assign worker's comp inside the employee information. I'll show you how:

  1. Go to the Employee Center, then select the specific employee you want to assign.

  2. Click the Pencil icon on the upper right.

  3. Choose Worker's Comp under Employment Info.

  4. Hit the Dropdown and add the code.
  5. Select OK.

On the other hand, if you're not using QuickBooks Desktop, may I know what QuickBooks product you use? In QBO, assigning multiple employee worker's comps is not available.

Additionally, this article helps you learn how to edit the rate for a worker's compensation code in QuickBooks Desktop: Set up manual Workers' Compensation in QuickBooks Desktop.

If you have any other questions or want to address your concern regarding worker's compensation, get back to this thread and we're here to help you.

You are telling me something I already know and totally missing the point. QBO has less functionality than desktop and needs to be fixed.
