How can I apply billable time to an invoice before the payroll period ends?

I have an employee set up in payroll and quickbooks time. They have an entry for billable hours assigned to a customer, but that billable time is not being listed when I go to create an invoice. I am guessing this is because the time entries are not "approved" yet. But I cannot approve them without closing out the payroll period.

Is there a way to invoice a customer on the spot with billable time that is tracked through payroll?

If we manually enter the hours billed on the invoice, then the customer pays, will I later be able to assign that billable time to the paid invoice after the payroll period is approved?

Is this how it is intended to function? I would like to have the billable time populate immediately rather than wait until payroll is processed.

Thanks for any help.

Thank you for sharing the details of your concern today, mtpropane. Allow me to provide some insights about applying billable time to your customers' invoices.

We cannot apply billable time to an invoice if time entries are unapproved. You might need to wait until the payroll period ends to record your customer's invoice. I'm providing these resources to offer additional tips on how to actively approve and export your timesheets so they appear in your project:

Once done, here's how you can record invoices from project expenses in our system: Invoice customers for project expenses in QuickBooks Online.

Please let me know if you have follow-up questions about your time entries and invoices. I'm just a few clicks away to help you again. Have a good one!

How can I apply billable time to an invoice before the payroll period ends?

Thank you for confirming that this is how the system works.

I am a bit disappointed because we do invoice customers on the spot and they are often paid immediately too, and we run payroll for ourselves monthly.

I am still unclear about whether or not I will be able to apply billable time to a paid invoice after the fact. If that is possible then I suppose that is the only solution to use this feature in my situation.

I think I will be submitting a feature suggestion to have the option to approve time and expenses without closing out the payroll period.
