Autofill Invoicing Body Email

Hello,

I have a custom template saved to our quickbooks that looks like:  Here is your Invoice #19966 from Balance. Billing cycle : [InvoiceDate], Total Amt. due = [Subtotal]. Due date = [duedate].

Is there any way to get quickbooks to autofill these missing fields in brackets with some type of formula when sending out the invoice? Thanks

Autofill Invoicing Body Email

You're in the right place for answers, @shatter_.

I'll share information about invoice email autofill and some alternatives to achieve the task.

Autofill features for the invoice body email in QuickBooks Online (QBO) are a time saver for all users. At this time, only the invoice number from the subject line will be auto-filled. But nothing to worry about because I have several workarounds, so your client can quickly see their invoice details.

Option 1: Manually enter the invoice cycle, due date, and total amount or Subtotal before sending them. See the attached photo below for reference:

Option 2: Ensure that the Form numbers and Due date are checked on the Customs form style page. Thus, the information is visible on your customer's end. Let me show you how:

  1. Go to the Gear icon and choose Custom form style
  2. Find your template and click Edit
  3. Choose Content and review the setup.
  4. Hit Done

  1. For more knowledge, see this article: Customize invoices, estimates, and sales receipts in QuickBooks.

After that, let's create a sample invoice to see what the forms look like. Do the following:

    1. Go to the Plus icon and select Invoice
    2. Complete the needed information in the field.
    3. Click the Subtotal button so it will divide your item amounts.
    4. Hit Customize and ensure you use the correct template.
    5. Choose Print and Preview

Option 3: I'd recommend reaching an IT professional. They can do some coding for your invoice body email.

Furthermore, check out these links below on how to accept electronic customer payments for online invoices and in-person sales in QuickBooks:
