Changed a product/service income account but transactions aren't tracking to new income account

We decided to change a couple of our product/services to be under a different income account/category.
After doing so, when running reports on those products, transactions are still showing up under the old income account/category.   How do we fix this?

Hello there,

 

Let's run some steps to isolate the issue.

 

To start with,  let's run the report using an incognito window. Incognito won't save your browsing history, which can result in unusual behavior.

 

You can use these keyboard keys to open one:

 

  • Google Chrome: Ctrl Shift N
  • Safari:  + Shift N
  • Mozilla Firefox: Ctrl Shift P
  • Microsoft Edge: Ctrl Shift P

 

Also, you'll want to clear the cache and make sure you're using a supported and up-to-date browser. This can fix any browser-related issues.

 

From there, you can run the report again. I've added this article as your guide in customizing report: Modify report.

It's not customizing a report I have problems with.   I changed the income account for a few products.   However when I run the P&L or the Income account reports, transactions for those products have not changed to the new income account.  I have already signed out, closed my browser, ran CCleaner and when I try the report again, those product transactions are still showing up in the old income account.

Thank you for doing the troubleshooting steps. Let me continue to help.

 

When you change the income account of an item and want to affect past transactions, you'll want to put a checkmark in the Also update this account in historical transactions checkbox. Please refer to the attached file.

 

What you can do now is temporarily change the income accounts of the affected items. Then, change them back to the final income account and make sure to put a check in the said checkbox.

In the first instance, I appreciate you adding a screenshot to your concern. Let me clear things out so you'll be able to see the option in QuickBooks Online.

 

You can see the option once you've changed the Income account of your item. Then, the Also update this account in historical transactions box will appear. Please see the visual guide below for your reference:

I have the same problem.  I have changed the income account in the Product section BUT DO NOT have the option to update previous transactions.  Please help!

I'll be sharing extra details on how changing the details of an item works in QuickBooks. I'll also ensure you can manage your transactions with the correct income account in QuickBooks Online.

 

Please know that the option Also update this account in historical transactions checkbox is only available for Service and Non-inventory products. With this, the said checkbox doesn’t appear if you're changing an Inventory item and this could be the reason why you don't have the option to update previous or historical transactions. 

 

Furthermore, only new entries are affected when you adjust the income account for inventory items. To update previous transactions, I recommend creating a new item with the appropriate income account and replacing the old item with it.

 

Here's how:

 

  1. Go to the Gear icon ⚙ and select Products and services.
  2. Click the New button, then choose Inventory.
  3. Enter all the information needed. Make sure to select the correct income account.
  4. Click Save and close.
  5. Go to the Sales menu and select Invoices.
  6. Choose the invoice you want to update.
  7. Select the delete (trash can) icon at the end of the line of the old inventory item.
  8. Add the new inventory item and enter the corresponding quantity.
  9. Click Save.

 

You can repeat this process for any previous transactions you want to update. Then, you can open this article to see further details: Change the account for a product/service item.

Hi - like others above us here , I am unable to see t he checkbox to update historical transactions.
I am definitely only interested in SERVICE items and we dont ever track stock.
Seems to me that many people are having this problem, does it depend what QB we are using? I am Online, more than that I dont know?

If you are unable to locate the checkbox to update historical transactions even after following the troubleshooting steps provided by my colleagues. In that case, I suggest contacting our support team for further investigation.

 

Here's how: 

 

  1. Sign in to your QuickBooks Online company.
  2. Select Help (?)  at the top to open the QB Assistant window.
  3. Scroll down to the Type Something field and enter a brief description of your concern.
  4. Click the Get help from a human link and follow the on-screen steps to complete the process.
  5. Choose Start a chat or Get a callback.

I did check the box to include historical transactions, and that didn't work either.

It's important to note that you can only change the account for an item once. 

 

Since your past transactions aren't updating even after checking the Also update this account in historical transactions box, you can change the income account and then switch it back to the correct one. 

 

Additionally, if you're changing the income account while opening a report, you can close the report and reopen it to check if the modifications were applied.

 

If the same thing happens, you can perform some troubleshooting steps. A cache-related issue is likely causing the situation. You can use a private or incognito window to rule out cache problems in your browser. Here are the shortcut keys:

 

  • For Mozilla Firefox browser: Ctrl + Shift + P
  • For Google Chrome browser: Ctrl + Shift + N
  • For Safari browser: Command + Shift + N

 

After that, you can log in to your QuickBooks Online (QBO) account and change the income account of your item again. If it works, you can clear your browser's cache. This removes the webpage data that's causing the issue. If a private browser won't work, you can use other installed supported browsers.
