Buy nowHi! I need to know how to classify into multiple classes a large sum at once that covers all the paychecks we paid from 2025.
We did not time track during the year, but I have done it in excel and have the percentages by class of how to to breakdown the total salary amount. Thus, all the salary amounts show up as not specified in my statement of accounts by class report and that is what I am trying to impact.
I attempted to do a journal entry breaking down the total salary amount into individual debits per class, but it is still not showing up in my Statement of Accounts by Class. It still shows up as not specified. Can anyone help?
Thank you!
Hello, showsafedm. To clarify, how were those paychecks recorded in your QuickBooks Online account? Were they entered as manual expense entries, checks, or another way?
In the meantime, since you already have the class breakdown in Excel, it's likely the classes weren't directly tied to the original salary expense transactions.
For the Statement of Activity by Class to recognize the split, each reclassification must be applied to the same expense account, with a class assigned to every line. If either is missing, the system will categorize the amount as NOT SPECIFIED.
For the JEs you’ve already created, you can click the total amount in the NOT SPECIFIED column in the report. Then, select the transaction and edit it to ensure the correct expense account and classes are entered on each line.
Lastly, that specific report only shows a summary because it’s designed to give an overview of totals by class, not every line detail. However, you can click the total amount for each class to drill down and see the individual transactions that make up that class.
Please feel free to add a reply below if you have any other concerns.
Thank you so much for your helpful and prompt reply!
Unfortunately, I should have clarified that all of these transactions are in no way associated with QB payroll system.
They are all just transactions from an outside system with no nuance or detail. Imagine that I hadn't said they were salary at all. Imagine that I just have dozens and dozens of transactions totaling in the hundreds of thousands of dollars and I want to break that total into multiple class designations. We are a non-profit and for our tax form 990 I need to break them across all the classes I have in there for Management, Fundraising, and Programs. I have a percentage. I have the totals of each category that I figured out in Excel.
I just need a way to assign those multiple classes proportionately to that huge total.
You're on the right track by tagging every debit and credit line with a class to keep your financial statements organized, Showsafedm. Let's troubleshoot your webpage to isolate any browser-related issues.
Start by refreshing it or logging back in to update your data. If the reports still display as Unspecified, open your account in an incognito window or switch to a different QuickBooks-supported browser.
If you've gone through the procedure above and your Statement of Accounts by Class report still appears to be incorrect, it's best to connect with our live support team. They can help check the specific entries and verify that there are no underlying sync issues.
Please let me know if you need further assistance with managing your QuickBooks transactions using classes.
