Creating Custom Invoice

I just tried to create a custom invoice. I want to use different logo and email. But when I change it on the new form, it also changed my standard invoice. 

How do I create a new invoice without changing the info on my standard invoice?

Creating Custom Invoice

You can create a customized invoice template with a different logo, NetworkGuy. I'm here to guide you through the process.

 

To create a custom invoice in QuickBooks Online (QBO) without altering your standard invoice, follow these steps:

 

  1. Go to the Gear icon at the top and select Custom form styles.
  2. Click on New style and choose Invoice.
  3. In the Design tab, name your template and select Make logo edits.
  4. To change the logo, click the + on the image and select the logo you want to use.
  5. Click Save.

 

Next, navigate to the Email tab to modify the email that your customers receive with each invoice, and then click Done. Please note that altering the email message will affect the email message across all templates.

Once everything is set, when creating a new invoice, select the custom template from the Customization dropdown menu, then Design to ensure the new logo and email settings are applied.

@MirriamM I appreciate the reply, but that only works for the logo.

 

If I change any of the information in the CONTENT section, it changes it in ALL templates. I want to use different:

  • Business Name
  • Email,
  • Phone, 
  • Website,
  • etc.

 

I know I can uncheck them and remove them, but then how do I add new text in the Header section?

Maybe a better way to ask my question is how can I create an invoice that looks nothing list the default that I would send to only certain customers for specific products?

You can select the template you've previously made when creating an Invoice for your specific customer. I'm here to walk you through the process. But before proceeding, ensure that the template you want for your specific customer has already been updated.
 

To select the template, here's how:

 

  1. Click + New.
  2. Under Customers, choose Invoice.
  3. Click the Manage (Gear Icon), then click the drop-down menu in the Design tab.
  4. Select the template to make an invoice for the specific customer.
  5. Once done, hit Review and Send.

Also, adding a text in the Header part of the invoice is currently unavailable. As a workaround, you can create and edit custom fields in QuickBooks Online.

 

After the customer pays the invoice, you can now record payments in QuickBooks Online to link it with the Invoice, ensuring your account is balanced.

Creating Custom Invoice

Custom Fields are only available in the Advanced version. 🥺

 

If I have read everything correctly, there are no options to create a custom form. 

  • Changes to information in the heading impacts all forms
  • You can not add custom text or messages to Header or Table
  • Changing the message in the footer impacts all forms

 

I am having trouble believing that there is no way to create use multiple custom invoices.

 

Are the any apps in the QBO store that provide this capability?

  1. Visit our QuickBooks app store.
  2. Search for the app that can create a template in the search bar section.
  3. Once you've found an app click the app.
  4. Then, click Learn more. You'll be routed to the app's website.

 

Also, please note that the Custom Form Style feature is available across all QBO products. Furthermore, if you create a new template for a specific customer and provide invoice, it will automatically update once you've customized the new form.
