CUSTOMER AGING DOESN'T MATCH CUSTOMER STATEMENTS

When creating Customer Statements the aging totals (1-30 Days; 31-60 Days, etc) does not balance with the Age Analysis totals. 

Every Month I need to manually change the aging in Excel, by going through all customer invoices and manually add them up

The age analysis does not put June invoice as payable End July. I have checked the Payment terms and the accounts are set on 30 Days, am I needing to amend a setting somewhere else?

Allow me to step in for a moment and help fix the error you're getting when exporting reports from QuickBooks Desktop (QBDT) to Excel.

 

To start off, let's update your QuickBooks to the latest release. This will help you download the changes, improvements, and fixes that were made to QuickBooks. Here's how:

 

1. Go to the Help menu at the top, then pick Update QuickBooks Desktop on the drop-down.
2. Select the Update Now tab, then check the box next to Reset Update.
3. Click Get Updates.

 

For your reference, you may visit this article: Update QuickBooks Desktop to the latest release. Next, let's run the Verify and Rebuild utility. This tool will fix any errors it can find and notify you of anything that needs to be manually corrected​.

 

To run the Verify and Rebuild utility, here's how:

  1. Go to the File menu at the top, then pick Utilities on the drop-down.
  2. Select Verify Data.
  3. Once done, go back to Utilities, then click Rebuild Data.

Once done, try to export your report again to Excel. If you're still getting the same results, you can repair QuickBooks Desktop to fix program-related issues or errors.

  1. Open QuickBooks.

Thank you for your response, however this does not resolve my issue.

My problem lies essentially with the terms of customers. when selecting customers as 30 Day accounts, the program sees this as 30 Days from date of invoice. e.g. if I captured an invoice 1 July 2021 it will show that invoice as 30 Days but if I capture an invoice 25 July 2021 it will reflect as current, where collectively all July invoices should be reported on the age analysis as Current, and collectively all June invoices as 30 Days, does this make sense?

I have a few suppliers that also use Quickbooks and have encountered the same problem.

You'll want to ensure you filter the date range accurately to show the correct data. If this is not the case, I propose downloading our QuickBooks Tool Hub tool and run QuickBooks File Doctor to fix this. This scans your file for errors and fixes it right away. Let me walk you through the process

 

  1. Close your QuickBooks Desktop (QBDT).
  2. Download the most recent version (1.5.0.0) of the QuickBooks Tool Hub
  3. Open the file you downloaded (QuickBooksToolHub.exe).
  4. Follow the on-screen steps to install and agree to the terms and conditions.
  5. When the install finishes, double-click the icon on your Windows desktop to open the tool hub.
  6. From the tool hub, select Company File Issues.
  7. Click Run QuickBooks File Doctor and select your company file from the drop-down menu. If you don’t see your file, select Browse and search to find your file.
  8. Select Check your file (middle option only) and then Continue.
  9. Enter your QuickBooks admin password and then select Next.
