How can I change the default amount that appears in the "rate" field when I create a new invoice or sales receipt ?

Four years ago QBO support helped me change this default amount, and I can't remember how it was done. I am raising my rates again and can't find where to do it.

How can I change the default amount that appears in the "rate" field when I create a new invoice or sales receipt ?

Welcome back to the Community, @galvanicmac.

Changing the default rate that appears when creating an invoice or sales receipt in QuickBooks Online (QBO) is pretty easy. This can be done by editing the item's rate in the Products and Services page.

Here's how:

  1. In QBO, go to the Sales menu at the left pane to get to the Products and Services page.
  2. Locate the item that you'll use in an invoice/sales receipt.
  3. Click the Edit option under the Action column.
  4. Change the rate in the Sales price/rate field.
  5. Hit Save and close to complete the process.

Once done, create a test invoice or sales receipt using that item to double-check.

Just in case, I'll add these articles for future reference:

I want to make sure everything is taken care of for you, so let me know if you have any other issues or concerns by leaving a comment. I'm always happy to help. Have a great weekend!

How can I change the default amount that appears in the "rate" field when I create a new invoice or sales receipt ?

I have my product rates entered properly, but when I invoice them it's using the price I paid instead of the price I want to sell it for.  Can you please help me fix this glitch?

Hi there, @natureandnurture.

Please verify that you've entered the sales price/rate and cost in the Product/Service information page. The sales price is the rate of an item listed to be sold. The cost is the original price of the item. It's the amount paid for making or purchasing the product.

Here's how:

  1. Go to the Gear icon.
  2. Select Products and services.
  3. Find the item, then click Edit.
  4. Verify the Sales price/rate and Cost are entered correctly.
  5. Click Save and close.

If it's entered correctly, this can be the result of outdated or corrupt cache files in your web browser. We can clear them in just a few easy steps.

Let's start by accessing your account through an incognito window to rule out the possibility of a webpage issue. If your subscription is still active, your data should remain available. Also, make sure to select the correct company. You can refer to these shortcut keys to open an incognito window in all supported browsers:

  • Chrome: Ctrl+Shift+N
  • Firefox: Ctrl+Shift+P
  • Safari: Command+Shift+N

If it's showing the correct rate, I recommend that you clear your browser's cache. By clearing them, you can remove that historical data and access QuickBooks with a clean slate. You can also switch to a different supported browser to see if it has something to do with your browser.

Fill me in and post about your results after the troubleshooting. It's my priority that you find the success you need.

Hi there, @Tennis11

Changing the sales price or rate won't affect your past invoices in QuickBooks Online (QBO). It will only affect your future invoices when you create them. To learn more about it, check out this article: Change product and service item types in QuickBooks Online.

For future reference, you may visit this article to learn how to personalize and add specific info to your sales forms: Customize invoices, estimates, and sales receipts in QuickBooks Online.
