How can I set up so that past due invoices are emailed automatically to each customer?

Hi there, uniwasher.

 

If you're using QuickBooks Desktop 2020, we can automatically send custom payment reminders for past due invoices to your customers. I'll show you how:

 

  1. Select Edit from the top menu bar, then choose Preferences.
  2. Go to the Payments tab, then select Company Preferences.
  3. From Do you want to send payments reminders? select Yes.
  4. Set the time and frequency that you’d like to be reminded to review and approve reminders.
  5. Click OK.

Once done, it's time to create a schedule for the email reminders:

 

  1. Select Customers from the top menu bar.
  2. Choose Payment Reminders, then click Schedule Payment Reminders.
  3. Select New schedule, then enter the name of the reminder.
  4. From the Select mailing list drop-down menu, choose Add New.
  5. Add a name for the mailing list, then click Next.
  6. Select the customers you’d like to add to the list, then select Save.
  7. From the new list, select Add Reminder.
  8. From When do you want to send this reminder?, set the appropriate date.
  9. Click OK when you’re done.

If you're using the older versions, you can take advantage of the Reminders feature. This way, we'll be able to track all the open invoices so you can manually send them. Here's how to set it up:

 

  1. From the Edit menu, choose Preferences.
  2. Select Reminders in the left navigation menu.
  3. Go to the Company Preferences tab.
  4. Select the Show List radio button for the appropriate transactions.
  5. Click OK to complete the process.
