I use Projects. Great. Billing Invoice is Vague. I want to add Project name to all Invoice templates

Hello there, @ken-amitigations.

 

I'm here to guide you on how to add the project name on your customer's invoice in QuickBooks Online.

 

You can add a custom field on your invoice template so you can enter the project name from there. This can be done in just a few clicks.

 

Here's how:

  1. Go to Gear icon.
  2. Select on Custom Form Styles.
  3. Click on your invoice template.
  4. Go to the Content section.
  5. Click the Pencil icon on the upper section of the invoice template.
  6. Select the Custom field in the lower section of the page.
  7. Enter Project Name, then make sure the box is selected.
  8. Click Done.

Once done, you can now create an invoice and manually add the Project Name details. You can also open an Invoice List report and customize it to view the Project Name.

 

Here's how:

  1. Go to Reports and search for the Invoice List report.
  2. Click Customize and select Filter.
  3. Check the Project Name box and click Run report.

On the other hand, you may also consider adding the project name on the Description box or in the Message section of the invoice.

I have a question.

If I already have a project name under "Projects" tab and these Project Names are associated with a customer AND used in current reports like "Estimates & Progress Invoicing Summary by Customer"... Why would it be necessary to add the Project name manually?  If I can go from a project estimate to Invoice and track all of this in QB reports...how do I add the project name to the Invoice.  It is not a Custom Field.  It (project name field) is already in QBO.  I am trying to use software to make my life easier and more productive not create more manual work.

Attached is an Example of the QBO report "Estimates & Progress Invoicing Summary by Customer"

I highlighted the part of the form that lists the contractor and project name.

This is the field (both names are fine) I want on my invoice.  Contractor in Yellow highlight.  Project Name in Blue.  See Attached

Thanks for reaching back out with more questions about adding a project name to invoices. I hope your day is going well so far. 

 

Yes, the custom fields are not automatically added to an invoice template until you manually enter it one time. All you need to do is manually enter the details into the template and then after that it will be on there for the future. 

 

With the reports, you can customize them to show custom fields. All you have to do is tap the Customize button at the top of the report.

I got it all to work.  Actually I had the custom fields on my form, BUT

you also have to turn on the Print on Invoice tab too.

In looking at the page to edit my invoices, under Custom fields there is nothing at all.

As referenced by my peer above, you'll need to customize your invoice template and enter the project name from there. Here's how:

 

  1. Click the Gear icon at the top menu bar and choose Custom form styles.
  2. Find your default invoice template and click on Edit.
  3. Go to the Content tab and click the upper part of the template.
  4. Tap on Manage custom fields.
  5. On the Custom fields section, click on Add field.
  6. Enter the Project Name and hit Save.

 

Once done, the project name will automatically populate whenever you create an invoice.

The Add Custom Field is asking for more information than you have in your screenshot.  Mine is attached.

 

I suppose I should put in "Project Name Sample" in the Name box, but it isn't clear about the next dropdown menu data type (text and number?)

 

And I will click on Invoice and toggle Print on Form but what ab out Select Category question?

I appreciate the screenshot, PermDude. It made me know that you're using QuickBooks Online Advanced.

 

It's the reason why you have more custom fields than the regular versions. Let me help you sort this out.

 

With regards to your first question, you'll enter the custom field name in the Name field. Concerning the data type, you can either select Text and numberNumber onlyDate, or Dropdown list. If you choose the Dropdown list, enter the items in the list. 

 

On the other hand, the category in the custom fields belongs to:

  • Customer
  • Transaction
  • Vendor

This work around is absolutely ridiculous. The information is already there when you create a project. Why isn't it just an option to print the project name on the invoice? Why create more work and extraneous data by creating a custom field when there is ALREADY A PROJECT NAME?!?!? Please fix this.

Thanks for sharing your sentiments in ths forum, @Darliegh. I understand that project name is already there in the customer or payee field. 

 

However, printing the project name on the invoice is unavailable. I know how convenient it would be to have this functionality in QuickBooks. I have forwarded your concern to our developers so they can take a look at it for possible consideration on future updates.

 

You can also send your feedback and suggestions on what you need to appear in the project drop down. 

 

Here's how: 

 

  1. In the top menu bar, go to HelpSend Feedback Online, then Product Suggestion. 
  2. Choose a Type of Feedback and Product Area (optional) from the available drop-down menus. 
  3. Enter any suggestions/feedback in your Here is my suggestion: field. 
  4. Select Send Feedback

Having been a Quickbooks desktop user for close to 20 years, I also cannot understand why QBO does not do this Automatically.  Please fix this ASAP

This is absolutely insane.  Good grief, this can't be that hard to implement!  If I do a google search of this topic, there's many requests for this feature going back years and years and, true to Intuit form, there's been zero effort to add a simple text box to an invoice that merely copies text from the project name--WHICH IS ALREADY IN THERE!!  I'll be finding another solution for invoicing, costing me more money to get a simple line of text shown on an invoice.  Ridiculous.
