How do I close my account, but maintain the data?

@bk1959

You can convert your data to QB Desktop file format before cancelling your QBO account. You can use the trial version of QB Desktop open the file later.

How do I close my account, but maintain the data?

Thanks for getting in touch with the Community, bk1959.

If you have one QuickBooks account and close it, you'll have read-only access to your data for one year. Afterwards, you'll need to presubscribe to access the data.

In the event you have multiple accounts, at least one with your same login credentials should remain active to have read-only access indefinitely.

Here's how to close an account:

  1. Sign in to the Intuit Account Manager.
  2. Click Products & Billing, then choose your company name. This will take you to the subscription page.
  3. Find which product you'd like to cancel and hit Cancel subscription.
  4. You'll see a multiple choice survey on why you're cancelling your subscription. Once you've filled it out, press Continue to cancel.
  5. The next page will be detailing product benefits, and your last day you'll be able to use the subscription.
  6. Click Continue to cancel.
  7. Select Got it.

If you're within a billing period you last paid for, you'll be able to resume your subscription and stay on the same billing by selecting Resume subscription. In the event your account is suspended, you'll need to resubcribe and activate it.

I've also included a detailed resource which may come in handy moving forward: Cancel your subscription or trial

Please don't hesitate to send a reply if there's any additional questions. Have an awesome Friday!

How do I close my account, but maintain the data?

I’m here to elaborate on the steps you need to convert your QuickBooks Online (QBO) file to QuickBooks Desktop (QBDT), @bk1959.

The article shared by 4Gal is correct to guide you in converting your files. In this, I’ll lay the guidelines for you to get started:

  1. Using our supported browsers, copy and paste this URL: https://app.qbo.intuit.com/app/exportqbodatatoqbdt.
  2. Click the Get Started button, and select the Download Tool.
  3. Install the migration tool and follow the onscreen instructions to complete the process.
  4. Choose the data you want to convert and click the Continue button.
  5. Pick the Continue to Download button.

Once completed, you can now proceed to Step 3: Prepare file for export and select your data in QuickBooks Online for export in this article: Export and convert your QuickBooks Online data to QuickBooks Desktop.

If you prefer to export your files manually, you can do so by following the steps provided below. Once you have completed the manual export process, you can proceed to step 3 of the exporting process outlined in the article above.

  1. From your QuickBooks Online account, go to the Gear Icon.
  2. Tap the Export Data and select the reason why you're exporting your data. Then, click Continue.
  3. Review your data from the export overview screen. Once ready, click Export to Excel.

Moreover, I've added this article to learn more about managing your company data: Limitations when converting from QuickBooks Online to QuickBooks Desktop.
