How to report on members who are paid in full?

QuickBooks Desktop does not support subscription type of business. Thus, recording or managing your non-profit club finances may need to run reports manually.

An example is, you categorize the customer type for annual or 10 years. When creating an invoice for annual members, customize the filter to customer type annual. Then, the report's date range would be this year. To show who paid this subscription. For the members/customers that don't have records for invoices/missing on your report, they are the ones who haven't paid yet.

Or, you can invoice them all at once, then run a report on Cash basis so those who paid will show up.

QuickBooks Online also does not support a subscription-based business. However, we can try finding a third-party app that can manage your customer list and will remind you if a member is about to renew or their membership is about to expire.

1. Go to the QuickBooks Apps Store.
2. Change the flag icon to the US flag.
3. Scroll down a bit, and go top the CATEGORIES section on the left side.
4. Click on Manage Customers. You can also search for an app using keywords.

I'm bringing this idea to our product engineers, so they can consider adding a reminder option in future updates. I believe this can also benefit other users who are in a subscription-based business.

Thanks for the information.  What I'm really after is a way to run a report at any point in time which shows who has not paid their annual dues.  For example, anytime during the year from 1/1 to 12/31/2020 I need to see a list of annual members who've not yet paid their renewal dues.  Same for 10-year members.  Thanks, John

You can run a Customer Balance Detail Report in QuickBooks Online. Please ensure to filter the date to this year to show unpaid transactions of your members.

You can follow these steps:

1. Select Reports in your left pane.
2. Enter/select Customer Balance Detail Report in the search field.
3. Click Customize.
4. Select This Year in the Report period.
5. Click Filter.
6. Choose Unpaid in the A/R Paid section.
7. Hit Run report.
