I have a customer that requires an order acknowledgement. Is there any way in QuickBooks online to send them one?

Order Acknowledgement is unavailable in QuickBooks Online, only the Estimate option, Traci.

 

I'll guide you on how to convert the estimate to invoice. The steps depend on whether you have the new or old version of the estimates.

 

If you're using the old version:

 

  1. From the Sales menu, select All Sales.
  2. Locate and open the estimate you want to convert.
  3. Check the status under the customer's name. 
  4. Select the Accepted or Pending status, then click Save.
  5. Select Create invoice.
  6. Click on Save and send or Save and close.

 

If you're using the new version:

 

  1. Go to Sales and select All Sales.
  2. Locate the estimate you want to convert. 
  3. If the status column displays Declined, you’ll need to update the status before you can convert it. (If the status is not Declined, skip to step 4.) 
  4. In the Status field, select the dropdown arrow then, Update Status.
  5. In the Status field, select the dropdown arrow and choose Pending or Accepted
  6. Select Ok and locate the correct estimate.
  7. In the Action column, select the dropdown. Then select Convert to invoice.
  8. Make any updates to the invoice, if needed. 
  9. Then select Save.

The option to create and send an order acknowledgment is unavailable in QuickBooks Online (QBO). Alternatively, you can create a custom template for one of your sales forms and change the name to Order Acknowledgement.

 

I'll show you an example using an estimate:

 

  1. Go to the Gear icon at the upper right.
  2. Select Custom Form Styles under Your Company.

  3. Choose New Style, and click Estimate from the drop down.

  4. Go to the Content tab, click the upper section.
  5. Then, enter Order Acknowledgement on the Form names section.

  6. Go to the Emails tab. then type in Order Acknowledgement on the Subject section. 
  7. Click Done.

  8. To rename the template, click Edit on the Custom form styles page.
  9. Enter the new name and click OK.

Hi there, @Armani858. I can share with you some additional insights about the Custom form styles option under the Your Company tab.

 

The Custom form styles menu must be available from the Settings icon for all QuickBooks Online (QBO) plans. The feature allows you to modify your forms and create attractive, professional-looking invoices, estimates, and sales receipts.

 

Since you don't see the option from there, please make sure to access QuickBooks as a master admin or user rights with permission to modify the QBO sales forms. If the tab is still missing, I'd suggest performing the basic troubleshooting steps to isolate the issue.

 

First, sign in to your QBO account using a private window to check browser-related issues while working with QuickBooks. Then, check the Custom form styles menu from the Gear icon.

 

To save you time, use either of these keyboard shortcuts:

 

  • Google Chrome: Ctrl Shift N
  • Safari 11 or newer: ⌘ Shift N
  • Mozilla Firefox: Ctrl Shift P
  • Microsoft Edge: Ctrl Shift P

 

If it works fine, go back to your original browser and clear its cache to start fresh. You can also use another supported and up-to-date browser to narrow down the result.
