You'll need to approve the timesheets. This way, the details will be automatically copied to an invoice.

 

Let me guide you with these steps:

 

  1. From the + New button, select Approve Time.
  2. Pick a date range.
  3. Select the employees to be included in the batch action.
  4. Select Batch Actions, then Approve.
  5. Select Accept and create invoice.

That helps @Adrian_A! However, once I selected the customer, I saw where I could add all the different invoice lines but they came over with no rate? My Employee has a rate assigned.

 

Other questions:

  • I require the ability charge hours by project as I require separate invoices per project. I see the project on my invoice but my billable hours from TSheets do not show up. How do I sort this out?
  • I require the ability for the same employee to have different rates per customer AND project. Is this possible to setup automatically? or will it require me to adjust the rate in the invoice?

I appreciate you getting back to us, @userNino. I've got your back on managing timesheet in QuickBooks Online (QBO).

 

You'll want to make sure that the Time field had a value. This way, the rates will show when you create the invoice. To check, you can find and open the time activity and review the Time field. Then, make sure you enter the work time of your employee.1.PNG

On the other hand, I suggest contacting Tsheets' support to know why your billable hours didn't show up on your invoices.

 

Also, setting up different rates for the same employee isn't available in QBO. You can consider adjusting the rate manually when creating the invoice.

You may explore other time tracker app. You can set both pay and bill rates for every member in your organization. It is also possible to have a separate pay and bill rate defined on a project level for each user.

When I click on NEW+ there is no option to approve time. I have QB Online Advanced, employees set up and am importing time from TSheets. We were on desktop and are attempting to transition to the online version. We did not have any problems with this in desktop.

Let's ensure you'll be able to approve time in QuickBooks, @CrystalD.

 

The option to approve time must be available in QuickBooks Online (QBO) Plus, Essentials, and Advanced. We need to figure out the possible reasons why you don't have the Approve Time button under the Employees.

 

First, make sure that your TSheets account is connected with QuickBooks. Then, open QBO as a master administrator and check the tab from the (+New icon.

 

If the tab is still missing, I recommend accessing QuickBooks using a private window. In most cases, unusual experiences in QBO are sometimes affected by the browser you're using.

 

To save you time, use either of these keyboard shortcuts:

 

  • Google Chrome: press Ctrl Shift N  
  • Mozilla Firefox: press Ctrl Shift P
  • Safari: press Command Shift N

If that works, go back to your original browser and clear its cache to start fresh. Or, try using other supported browsers can help us narrow the cause of this behavior.

What if I do not need to pay the employee (myself). I just need to bill the hours to my customer in an invoice. Is that possible?

Yes, it's possible to bill your customer's invoice in an invoice. Through this, you can easily record and track billable expenses so your customer can reimburse them when they receive their invoice.

 

Before doing so, let's turn on first the billable expense feature. Let me show you how.

 

  1. Go to the Gear ⚙, then select Account and Settings.
  2. Go to the Expenses tab.
  3. From the Bills and expenses section, select Edit ✎.
  4. Turn on the following:
    1. Show Items table on expense and purchase forms
    2. Track expenses and items by customer.
    3. Make expenses and items billable.
  5. Choose Bill payment terms.
  6. Click Save.

 

In case you haven't created a bill. Here’s how to bill a customer for an expense.

 

  1. Click + New then select the Bill.
  2. Select the payee.
  3. In the Category column, select the expense account for the transaction.
  4. Enter the description and amount of the expense, then select the Billable checkbox.
  5. In the Customer column, select the customer you want to bill for this expense.
  6. Select Save and close.

 

Once done, you can now link the Bill to your Invoice.

 

  1. From QuickBooks Online, click the +New icon and select Invoice.
  2. Select the same customer you chose you created a billable expense for. An Add to Invoice menu will appear on the right side.
  3. Under the Billable Expense, you need to attach, select Add. Fill out the rest of the Invoice as needed.
  4. Click Save and close.

In case your customer wants to pay the invoice online, you can send an online invoice. Here's an article for more information: Take and process payments.

Im not trying to bill for an expense. I want to bill for MY time keeping customers books. I thought “T Sheets” now “QB Time” would be a great way to keep track of billable time and then import into QB Online - Invoice and bill my customers. Is that not possible when Im a sole proprietor and not paying myself as an employee?

Good morning, @BookkeeperNatasha! Thank you for coming back to the Community and clarifying. I'm happy to talk about your options for invoicing customers for your time. 

 

There's no need to be an employee to export your hours into QuickBooks Online. What you'll need to do is set yourself up as a vendor in your QuickBooks Online account and sync. Once your profile is in QuickBooks Time, track your hours and make sure you're choosing both a customer and marking the time as billable. Here's a link to an article about your preferences in QuickBooks time: About QuickBooks integration preferences in QuickBooks Time.

 

With all those steps completed, your time will show up on the right-side panel when creating your invoice (you have to choose the customer first for the time to show up). 

 

If you're set up as a vendor and still not seeing your time, I recommend taking a look in the Weekly Timesheet in QuickBooks Online and making sure the time is exporting correctly there.

It is my understanding after talking many hours with QB ONline and QBTime, that Vendors cannot xfer over to QBTime unless you are using QB Payroll. 

My client has 3 1099 contractors (set up in QBO) as Vendors, and none of their Rates / Billable Hours Rates translate over to QBO. So I have to Add Time to a specific project to work around this. Can someone verify if this is true?

Allow me to join the thread and share some information about your concern, 

 

When transferring to QuickBooks time payroll subscription is needed to process payroll. 

 

You'll want to make sure that the associated service items are set to billable. Select Preferences from the QuickBooks drop-down. Look for the billable option and turn it on.

 

 To set up the billable rate on your QuickBooks Online account to associate it with the vendors time entries. Let me guide you with these steps:

  1. From the Expenses tab, select Vendors.
  2. Click the vendor's name.
  3. At the top-right part, click Edit.
  4. Enter the Billing rate (/hr).
  5. Click Save.

 

Once done, the changes will automatically sync on your QuickBooks Time account.

 

You can also reach out to QuickBooks Time Team so they can check your company setup.

Hi there,

I'm hoping you can answer a similar question about the billable hours. We use quickbooks times and the guys enter their hours to the appropriate customer and then choose "billable- yes". At the end of the day or the next morning they create invoices for those customers but they are not seeing their hours show up until a week later so they end up needing to manual enter than and then I need to delte the billable hours from QB Time. This is very frustrating. Is this just a glitch that will be fixed soon?

To clarify, are you using QB Time to create invoices and not exporting to QuickBooks Online? 

 

If that is the case, the guys will need to submit their hours for approval at the end of the shift. From there, have an admin or manager approve them, and then create the invoice. 

 

Note: Managers or admins can approve a single day of time by using Custom Date Range in approvals and selecting the right team members so that others don't get locked out from submitting time.

No, we are using Quickbooks time to record the time, and then approving hours and creating invoices from Quickbooks online.

QuickBooks release an update where it replaces the Single Time Activity and Weekly TimeSheet to Time Entry. Though it requires extra clicks, it still the same as entering a weekly timesheet. 

 

You can go to the + New menu to access Time Entry or click Time from the left menu and select Time Entries. From there, you can enter and track your employees' time. You can also check this article for more details: Track and manage timesheets in QuickBooks Online.

Ok, I am still confused. I click the "approve time" button in QuickBooks Online to approve their time for the previous week. Are you saying I can do this daily? I don't think I can because it will say they haven't "submitted" their time. How can they "submit" it at the end of each day so it shows up on their invoices? Thanks!

I'm here to help you how QuickBooks Online (QBO) can create invoices with hours tracked from QuickBooks Time.

 

Yes, we can approve time daily in QBO. Once the hours from QuickBooks Time are submitted, we can utilize the Approve time button.

 

First, we'll have to set up timesheet submission and approval in QuickBooks Time. I'll show you how:

 

  1. Go to Feature Add-ons.
  2. Select Manage Add-ons.
  3. Scroll down to Approvals, and then select Install.
  4. In the Approvals Preferences window, on the General tab, customize the message seen when team members submit their timesheets.
  5. On the Notifications tab, set team member timesheet submission and manager approval reminders.

 

Once they submit their time, we can approve them in QBO:

 

  1. Go to the + New button. Or, go to Get paid & pay and select Time.
  2. Select Time entries.
  3. Select Approve Time. The current pay period displays.
  4. In Needs review, select an employee.
  5. Review the time and select Approve [employee's] time.

 

Once approved, we can create an invoice with their time.

 

If the same thing happens, I advise contacting QuickBooks Time support to examine and find out why your billable hours didn't appear on your invoices.
