Quantity on the Inventory Valuation Report Does Not Match Quantity on the Invoice

We're having discrepancy issues in inventory quantities with various reports versus the "Inventory Valuation Summary" report. When drilling into it further I narrowed down one of the issues is that the inventory quantity shown in the "Inventory Valuation Summary" report does not match the inventory quantity shown in the related "Invoice" for specific transactions.

Can anyone explain why the quantity on the Inventory Valuation report does not match the quantity on the Invoice?

I've attached an image as an example. You'll see that a specific Invoice transaction for a specific item on the Inventory Summary report has a quantity of 125. But, when you drill into that specific transaction to view the associated Invoice, the Invoice shows a quantity of 5. Why the difference?

Thanks for the screenshots, AWBEL. I've replicated your concern, and the report is showing me the correct quantity.

It looks like a corrupted item. We'll have to inactivate and create a new one to get past the issue. Let me guide you.

First, let's delete the item. Here's how:

  1. Click Lists, then go to Item List.
  2. Select the item, right-click, then choose Delete Item.
  3. Click Make inactive, then click Make inactive again.

Next, recreate the same inventory item.

Then, let's update the invoice. This way, it will recognize the new item. Here's how:

  1. Open the sales transaction.
  2. Change the item.
  3. Click Save & Close.

Lastly, open the Inventory Valuation report again, and check if the quantity is accurate already. You can also customize the report. It'll help you focus on the details that matter to you.

Thanks for the screenshot you've provided, ptownbro.

I've also tried running the Inventory Valuation Summary and opened an invoice in my sample company. However, I got the correct numbers. Here's a sample screenshot for reference:

The company file might have been damaged. We can do the Verify and Rebuild Data to resolve this issue. Before doing so, let's update your QuickBooks Desktop to the latest release

Then, follow the steps here: Verify and Rebuild Data in QuickBooks Desktop. I'm also adding this article for other solutions: Fix data damage on your QuickBooks Desktop company file

Please let me know how it goes. I'm here to help you out again until you have the correct inventory report.

Thanks for replying. Yes, what you described is how it's supposed to work and most of my transactions do work that way, but there a number that do not.

After following your instructions to update QuickBooks and rebuild the data, I'm still having the same issue and that specific transaction still shows a quantity discrepancy between the invoice and Inventory Valuation.

Any other suggestions or ideas?

Let me help you fix it, AWBEL.

Aside from updating the software and rebuilding the data, we can use the QuickBooks File Doctor to resolve the company file issue.

If it didn't make any difference, we can do a clean install of QuickBooks. It refreshes our software and fixes company file issues as well. Before doing the process, let's ensure to create a backup copy of your company to avoid data loss.

That didn't solve the problem. But... I just noticed something. If you look at the image I attached in my original post (attached again for reference), I noticed that the "U/M" (Unit of Measure) had the value of 25. If you take the amount on my invoice of 5 multiplied by 25 that gives you 125 which matches the Inventory Valuation amount. If you followed me... Could that be the problem?

Not sure why U/M was set to 25 by the way. The setting predates me.
