Budget vs Actual reports

We use the Online Advanced. I am running the budget vs actual report for each of our divisions. It gives me the February amount but the total column just lists the same amount. I want it to have January and February for a total. I have checked all the settings that I know about but cannot get it to work.

Budget vs Actual reports

I've come to share details about the availability of the Budget vs. Accruals report in QuickBooks Online (QBO), @SScalia.

Financial reports give you snapshots of different areas of your business. Most reports are available for all QBO users. However, the Budget vs. Accruals report is available for certain subscription levels (i.e., Plus and Advanced plans).

You may have subscribed to either the Simple Start or Essentials plan. That's why you're unable to locate the report on your list. With this, you can opt to upgrade your QBO subscription to pull up the report you need and enjoy more accounting features. You can refer to this article for the detailed steps: Manage your QuickBooks Online plan (Upgrade your subscription section).

Once upgraded, go to the Business overview section from the Reports menu's Standard tab to pull up the Budget vs. Accruals report.

Also, I'm adding this article to learn which reports are available for your version of QBO: Reports included in your QuickBooks Online subscription.

Additionally, you can filter your reports to focus on the details that matter to you the most. Doing so will let you show specific accounts or format the layout to get the data you need. To learn more about this process, you can refer to this article: Customize reports in QuickBooks Online.

Let me know in the comments if you have other reporting concerns in QBO. I'm always around to help. Keep safe always, @SScalia.

Budget vs Actual reports

It's good to hear from you today, Albaoliv5.

If you're using QuickBooks Online Plus, let's perform basic troubleshooting steps to check whether this has something to do with your browser. You can use an Incognito browser to start a new session. Here's how:

  • Google Chrome: Press CTRL + Shift + N.
  • Safari: Press Command + Shift + N.
  • Mozilla Firefox: Press CTRL + Shift + P.

Once signed in, go back to your reports and search the Budget vs Actual from there. If it rectifies the issue, go back to your main portal and clear its cache to remove the browser's history or you can press CTRL+Shift and Delete key on your keyboard altogether. You may also try accessing your account using another supported browser.

However, if you're using QuickBooks Desktop Plus, you can follow the steps below to find the report.

  1. Click Reports at the top menu bar.
  2. From the drop-down list, select Budgets & Forecasts.
  3. Choose Budget vs, Actual.

I recommend customizing the report to get the specific details you need. You can also memorize it to save its current customization settings. It serves as your record and helps you quickly access it for future use.

Loop me in if you still need help with QuickBooks. I'll be around to provide additional assistance.

Budget vs Actual reports

I want to run the budget vs actual report with just Jan and what the budget is for the year. But Quickbooks is diving it over the year, which I don't want. All I need it to do is have Jan and the budget for the year. How can I do that?

Budget vs Actual reports

I want to ensure this will be taken care of, @lpccdebra.

When running the Budget vs Actuals report in QuickBooks Online (QBO), the Total column will only show the total amount indicated in the selected month. For instance, when you filter the report to show only the budget for January, the Total column will only display the amounts for that specific month.

The option to show totals for the entire year is unavailable when you select a particular month. As a workaround, you can export the report to Excel and modify the columns from there. I'll guide you how:

  1. In your QBO account, go to the Reports menu.
  2. Next, scroll down to the Business Overview section and choose Budget vs. Actuals.
  3. Once opened, filter the Report period to show all information for the year. This way, the report will show amounts for your desired month as well as the totals for the whole year.
  4. Next, select the Export icon and click Export to Excel.
  5. Once exported, modify the reports column from there.

If you want to have additional customization before exporting the report, simply click the Customize button

Meanwhile, you'll want to send product feedback to our developer to request the addition of this feature. Rest assured that they are bound to improve the program's features to suits your needs and preferences. Please refer to the steps below:

  1. Navigate to the Gear icon.
  2. Next, choose Feedback.
  3. Then, enter your comments or product suggestions. Example: Want to run the Budget vs. Actual report in the QBO and have a filter to show the amounts for a particular month as well as the total for the whole year.
  4. Select Next to submit feedback.

Once submitted, please visit our QuickBooks Online Feature Requests website to track your suggestion. From there, you can also add votes to other product requests that you think might help optimize your QBO navigation.

Also, saving your report modification in QBO is a breeze. To do this, you simply need to click the Save customization button. This feature will allow you to apply the same customization in the future.

I'm just around the corner to help you if you have any other concerns about running your budget report. Don't hesitate to post again here. Have a great day ahead.

Budget vs Actual reports

Hi,

The budget vs. actual report isn't even available for me. My company setup a new QBO when we incorporated and I'm setting our new account up and it's gone. We have the same level as we did before but it's gone. Is there a way to have it added?

Thanks for joining the thread, AdminAQR.

I see the value of running the Budget vs. Actuals report to compare your business's actual revenues and expenses to the budgeted amount.

Your current subscription could be one of the reasons you're unable to run the Budget vs. Actuals report. Let's check the new QuickBooks Online account that your company has set up since this report is only available for QuickBooks Online Plus and Advanced.

Here's how:

  1. Go to the Gear icon.
  2. Select Account and settings.
  3. Click the Billing & subscription.
  4. Below the Company ID field, you should see your current subscription.

If it isn't Plus or Advance, you can click the Upgrade your plan button to have the option to run the Budget vs. Actual report. If you have the correct subscription, ensure the budget we're set up. I'll show you how.

  1. Go to Settings.
  2. Click Budgeting under Tools.
  3. Select Add budget, then enter a budget name in the Name field.
  4. Complete the Fiscal YearInterval, and Pre-fill data fields.
  5. Click Next.
  6. Enter the budget data into the table if you didn't use the Pre-fill data option.
  7. Hit Save.

I'm also adding this article if you want to run reports that only display the information you need: Customize reports in QuickBooks Online.

Just click the Reply button below if you need further assistance with the reports. The Community and I will be here to help you.

Budget vs Actual reports

I have Quickbooks Online Advanced and I can not see the Budget vs. Actuals under the business overview section in Reports. How do I get this report? Does this report allow the budget for one product/service be compared to the actual product/service cost? I was able to get a budget vs. actual report that was close to what I need. But it just shows the grand total of the Budget vs. the cost of the product/services. I need line by line budget vs. actuals.

I apologize, what I actually need is a report that shows the product/service estimate line by line versus the actual cost of each product/service by Customer. Is there a report that shows that?

Hello there, @asellers03

I see the value of running the Budget vs. Actuals report to compare your business's actual revenues and expenses to the budgeted amount.

In the meantime, you can export your file to excel and customize it to show the information you need. To start, follow the steps above provided by my colleague to create the report. After that, refer to the steps below to export it:

  1. Select the Excel drop-down arrow.
  2. Click Create New Worksheet.
  3. Hit Export.

Once done, hide the columns that you don’t need. This won’t affect your data.

I'll be adding some related links to help you get your way around the Reports feature in QBO:

The report "purchases by products and services detail" is close to what I am looking for. It just needs to be "Summary" instead of "detail"

I need a report to be just the summary of each product and service by job. The Desktop version had this report. I don't understand why the online version doesn't.

Attached is a pic of an example Budget vs. Actuals report. This is exactly what I need.

Thanks for joining and for sharing your screenshot, @asellers03. I know how a summary of the Budget vs. Actual report would be useful to your business needs.

QuickBooks Desktop uses different platforms with QBO. Hence, some of the reports may not be available. In the meantime, you can follow my peer @LollyNino_C recommendation to export your file to Excel and customize it to generate the information you need.

We have already shared this idea to our engineers, and I'd recommend you do the same so they'll put your idea into consideration for future updates. Here's how:

  1. Click the Help menu at the top and select Send Feedback Online.
  2. Choose Product Suggestion and enter the details.
  3. Click Send Feedback.

You can also add your comments and suggestions directly to our QuickBooks Feedback form link. Please know that all our suggested plans are subject to further study.

We're always here to answer all your follow-up questions about managing your reports if there's any. Take care!

Can I change the column heading from "Over Budget" to "Variance"?

Budget vs Actual reports

Hello there, @RL_Moore. I'm here to help you change the column heading or the budget report.

Currently, the option to change the column heading of the Budget vs Actuals report is unavailable. Thus, editing Over Budget to Variance is not possible in QuickBooks Online (QBO).

As a workaround, you can export the report to Excel and edit the column headings there. Here's how:

  1. Go to the Reports menu.
  2. Next, scroll down to the Business Overview section.
  3. Click the Budget vs Actuals report.
  4. From there, select the Export icon and choose Export to Excel.

We'd love to hear more of your insights regarding this feature so I recommend sending feedback to our product developers. This way, they can further review which parts of the program need enhancements and consider adding them to future updates. Please refer to the steps below:

  1. In your QuickBooks Online (QBO) account, navigate to the Gear icon.
  2. Next, select the Feedback option.
  3. From there, enter the details of your product comments, suggestions, and requests.
  4. Then, click Next to submit.

You can visit our Customer Feedback for QuickBooks Online website to track the feature request you've submitted.

I've added this helpful resource that you can use as a guide in customizing reports in QBO: Customize reports in QuickBooks Online.

I'm always here ready to lend a hand if you have any other concerns about running budget reports in QBO. Have a good day ahead and stay safe.

We are trying to show the "$ over budget" it shows when we don't have any filters, but when we filter by name that section is blank, the budget section is blank, etc. (desktop version)

I've included photos to show both.
