Can a Budget to Actual Report be created by Class that includes Annual Budget, Budget YTD and Actual YTD?

Hi there, tfalik.

Thank you for visiting again the QuickBooks Community. I'll be sharing steps to ensure you'll be able to achieve your goal.

Yes, a Budget to Actual Report can be created by Class that includes Annual Budget, Budget YTD, and Actual YTD. To do this, you'll need to turn on the Class feature first in the Account and settings.

Here's how:

  1. Go to the Gear icon.
  2. Choose Account and Settings under Your Company.
  3. From the Advanced tab, go to the Categories section. Then, turn on Track classes.
  4. Click Save. Then, Done.

Once done, you can now create or add a new class in QuickBooks Online. You may open this artilcle to see the steps on how to perform the process and to see further details: Create and manage classes in QuickBooks Online.

After that, you can then start creating a budget by Class and make sure to choose the right date range. Please follow the steps below.

  1. Go to the Gear icon.
  2. Select Budgeting under Tools.
  3. Click Add budget at the upper-right corner.
  4. Enter budget name. Then, select the specific fiscal year and choose Yearly in the Interval drop-down list.
  5. Select the exact data in the Pre-fill data box.
  6. Choose Class in the Subdivide by drop-down list.
  7. Select the specific class in the Add subdivided budget for field.
  8. Click the Next button.
  9. Fill in the necessary field in the Budget section.
  10. Press the Save button.

For additional information, you can click this artilcle: Create and import budgets into QuickBooks Online.

After that, click the drop-down arrow under the Action column and choose Run Budgets vs Actuals report. Then, customize the report if needed to ensure you'll be able to see the data that you need.

Lastly, you may refer to this article to view a table list that contains various reports that are available for your version of QuickBooks Online: Reports included in your QuickBooks Online subscription.

Let me know if you have other questions about the budget report. I'll respond and provide you with the information you need from us. Take care always.

Can a Budget to Actual Report be created by Class that includes Annual Budget, Budget YTD and Actual YTD?

Hi ChristieAnn:

Thanks so much for getting back to me so promptly.  I already have Classes set up, my monthly budget is in the system, and I am familiar with the Standard Budget to Actual Report. The problem I am having is, if I do the report in the middle of the fiscal year, how can I also see the annual budget for that Class in the same report.

Thank you for coming back to the Community, tfalik.

I appreciate you for taking the initial steps in trying to run a Budget vs. Actuals report showing the information mentioned above. Let me point you in the right direction about your concern.

I recognize the importance of being able to build a report that will let you view the Annual Budget, Budget YTD, and Actual YTD set to the middle of the fiscal year. This will give you a clearer view of the performance of each class and their budgets.

We're always looking for ways to make the online program a more versatile tool for customers. I recommend you let our Product Development Team know that adding more customization options on the Budget reports is beneficial to your business. This will help them identify the features our customers need the most and consider in future updates.

Here’s how:

  1. Open your company and tap the Gear icon in the upper right.
  2. From the options, select Feedback under Profile.
  3. In the Feedback window, enter your product suggestions.
  4. Click Next to submit.

You can bookmark this link in your browser for future reference: Common custom reports. It covers all the details on how to add filters to Transaction List reports, income and expense statements. You’ll also learn about customizing report columns to show different report periods.

Also, this reference will guide you on how to get the most out of your financial statements: Customize reports.

Drop a comment below if you have additional concerns building your Budget report. I’m more than happy to assist further. Have a great rest of the day.

Can a Budget to Actual Report be created by Class that includes Annual Budget, Budget YTD and Actual YTD?

Can I go back and subdivide a budget by class AFTER I have made the budget.  Don't see that option except when you initial make a new budget.

Thanks.

Can I go back and add a subdivide by class AFTER I have created a budget in QBO.   I only see this option when you create a new budget.  Thanks.

Hello there, @SteveWas. Thanks for joining the Community space today.

Currently, the option to add subdivide by class after creating a budget is unavailable in QuickBooks Online. You'll have to create a new budget grid and add the class from there.

While this option is unavailable, I recommend sending your feedback straight to our dedicated team to help make changes to QuickBooks Online's capability. You can follow the steps shared by my colleague Rasa-LilaM on how to send feedback or click this link: How do I submit feedback?

I’ve added an articles where you can get more information on creating budgets and customizing reports in QuickBooks:

Please let me know if you still need help with anything else. I'll be around to assist you. Take good care!
