Certified Payroll Reports

I'm here to make sure you're able to pull up the data into Excel, @lpurcell.

It is possible that you already exceed the limit. Due to Microsoft Excel 2003, 2007, 2010, and 2013 limits, this Excel report export feature has a limit of 65,536 detail lines.

If you exceed this limit you would have to upgrade to Excel 2015 or 2016 and try the following workaround

  1. Ensure to have Excel 2015 or 2016 for this to work because they support more than 65,536 detail lines.
  2. In your QuickBooks Desktop file, run a report such as the Create State SUI EFile.
  3. Before getting the QuickBooks Desktop data in Excel, change the settings using the Create State SUI (State, Filing year, Quarter) EFile.
  4. Go to the generated excel and Save As. Choose the type as Excel Macro-enabled Workbook (xlsm).
  5. Open the saved xlsm file and enable the macro contents by clicking on the Enable Content.
  6. Go to ADD-IN menu, then select QuickBooks Payroll State SUI E-File drop-down or the Excel Report you are trying to run.
  7. Choose Refresh State Data.
  8. We will again get the option of getting the QB data. Choose the following settings:
    1. State = State filing for
    2. Filing Year = Correct Date
    3. Quarter = Correct Quarter
  9. This time it should fetch all the data.

Certified Payroll Reports

Good day, @Berenice 1.

Thanks for joining this conversation. Allow me to chime in and help make sure you're able to pull up the Certified Payroll report in QuickBooks Desktop (QBDT).

If you already followed the steps shared by my colleague above and the issue persists, let's run the QuickBooks built-in diagnostic and repair tools called rebuild and verify data utilities. These tools will repair and notify you of any possible data damage within the file.

Here's how:

  1. Go to File, then select Utilities and Rebuild Data.
  2. Choose OK. Follow the prompts to save a backup.
  3. Click OK once completed.
  4. Now, go back to File, then Utilities, and select Verify Data this time.

21.PNG

If QB detected no problem with your data, hit OK. However, if it finds an issue, you will be prompted to Rebuild Now or View Errors. Choose Close, then perform the steps below.

Here's how:

  1. Locate and check the QBWin.log or QuickBooks.log files.
  2. Scroll to the bottom for the most recent Verify information.
  3. Find the line that contains the LVL_ERROR, then check Top data damage errors in QuickBooks Desktop.

For additional information about the process, consider checking out this article: Fix data damage on your QuickBooks Desktop company file.

@FritzF

Rebuilding the company file will not change the reports that appear on the QuickBooks menu.

Problems with a company file do not change the contents of the QuickBooks menu.

@Berenice 1

This happens every time you upgrade because not all of the payroll reports are initially installed.

After you get payroll updates successfully and then restart QuickBooks the additional reports will appear.

I am having issues with the certified payroll reports not pulling all the data from the timesheet entry screen into the excel file.  The error seems to consistently be with just a handful of employees, but is a very frustrating and time consuming process to manually correct.  I have called QB support for assistance, done a file rebuild, reloaded my excel but nothing corrects this problem.  This issue began when we updated the software to QB Enterprise Contractor 22.0

Thanks - I followed these procedures also and the report still does not pull the timesheet data into the excel spreadsheet (or pulls some days but not all).  Not sure how to get this fixed, but it needs to be fixed as the certified payroll reports are vital to us receiving payment from our customers.

I have contacted your support team and have a case #1572878865.  They were unable to resolve and had me contact my IT group and uninstall/reinstall my Excel programs.  I will reach out to your support again tomorrow, but do not have much confidence this matter will be resolved.  That's why I was reaching out to the community to see if anyone else was experiencing the same issue.

Not trying to be negative, but just don't have much hope as I'm still waiting for resolution to an open issue with your support group for over 2 years - Error message: QB_Payroll_Link.xlt.

It seems the needs of your users is not of great importance to QB any longer and it is becoming increasingly more difficult to utilize the software without issues.

Hi, @ECSVA.

This isn't the experience we want you to have when trying to do a certified payroll report in QuickBooks Desktop. Let's work together to ensure you can get past this error and utilize QuickBooks seamlessly.

Here are some troubleshooting steps for you to perform to fix this issue. These are:

To start, we can download the latest release to improve the overall performance of your system and fix commonly known issues. I'll show you how to do it:

  1. Go to the Help menu and choose Update QuickBooks Desktop.
  2. Tick the Update Now tab to mark the box for Reset Update.
  3. Hit the Get Updates button to remove the previously downloaded releases.
  4. Click OK to continue.
  5. Once done, close and reopen your QuickBooks to kick off the installation.

Then, ensure the application is appropriate for your system and will prevent unusual behavior. Details about the system requirements for each QuickBooks version can be found in this link: System requirements for QuickBooks Desktop 2022.

From there, repair an office application to fix the issue if your version is compatible. If the problem persists, follow Steps 4-5 in this article: Fix export to Excel issues in QuickBooks Desktop.

Suppose you still encounter the same error after trying out those steps above. In that case, I recommend reaching out to our QuickBooks Desktop Payroll Support Team to look further into your account in a safe environment to investigate this matter and provide a possible fix.

Moreover, visit this article for more information about several Excel reports available in QuickBooks and how to generate them: Excel-based payroll reports.

Please keep me posted on how things turn out. I'll get back here as soon as possible to assist you again. I appreciate you dropping by and wish you well.

Certified Payroll Reports

We are having issues with certified payroll that have made us scratch our heads.  The jobs that we are trying to run suddenly drop off the job list drop down menu while running the certified program.  This causes an issue for us as we need to run the report even if we didn't have any work on that job that week.  We don't understand why we can run the report just fine and then the next week the job doesn't show up on the job list.

Is anyone else having this issue or had this issue before and if so how did you fix it?  If we can't get it fixed we will be forced to purchasing a certified payroll program to run our report.

Let's work together to resolve the export issues your experiencing with QuickBooks Desktop (QBDT), skco1.

Upon reviewing the information, the post you replied to was from last year, 2021. Given the time that has passed, it’s likely there have been updates to either the article or the Excel file.

Here are the updated steps to troubleshoot export errors in QBDT:

  1. Upgrade your Excel to a newer version.
  2. Create an SUI file.
  3. Save the SUI file as an Excel Macro-enabled Workbook (xlsm).
  4. Open the saved xlsm file and enable macro settings (anchor), then select the ADD-INs tab.
  5. Next, locate the QuickBooks Payroll State SUI E-File dropdown menu and select Refresh State Data.
  6. Select the following to get the data again from QuickBooks:
    • State = State filing for
    • Filing Year = Correct Date
    • Quarter = Correct Quarter
  7. Click Get QuickBooks Data. It should fetch all the data this time.

I'm also including this article to learn more about the Certified payroll in QBDT: Certified Payroll Overview.

If there's anything else I can assist you with besides generating your reports, feel free to share your thoughts in the comments section. I'm here to support you in any way I can.

I upgraded to 2024 QB.

I am trying to create a certified payroll report, so I have been opening that, not the SUI.  I finally figured out how to open the SUI and finished the trust center settings to enable macros and that finally worked! Yay, thank you!
