chart of accounts

I made changes to the chart of accounts and the changes improperly reflect on the reports. For instance I created a new header and moved an expense under the headder. What happened was the expense now is under a different headder in a report whereas it reports accurately in the chart od accounts

This unusual behavior or results when viewing the chart of accounts and reports can be caused by potential data issues. If that's the case, let's run the QuickBooks built-in diagnostic and repair tools called rebuild and verify data utilities. These tools will repair and notify you of any possible data damage within the file.

 

Here's how to run the Rebuild Utility:

 

  1. From the QuickBooks Utilities menu, choose Rebuild Data.
  2. Select OK if you receive a prompt to back up your company file.
  3. Note: Your computer may display the message QuickBooks is not responding. However, as long as you can see your mouse cursor move, Rebuild is still ongoing. Wait for it to complete.
  4. Select OK when you get the message Rebuild has completed and proceed with the next step.

 

To run the Verify Utility:

 

  1. Under the QuickBooks File menu, select Utilities, then choose Verify Data.
  2. Select OK when you see the message QuickBooks detected no problem with your data. You may continue using your company file.
  3. If Verify finds an issue with your data, you will be prompted to Rebuild Now or View Errors. Select Rebuild Now.

I want to make sure I'll provide you with the right information. Can you share with me what you mean by creating a new header and moved an expense under the header? Any additional details can help us narrow things down.

Under expenses on my income statement I have headers.

General Expenses, Program Expenses, Payroll Expenses, Admin Expenses, etc.

They are set up as expenses themselves without a number.

The expenses that relate to the header are numbered sub accounts of the header.

What happened is that I changed the name of a numbered account that was under General Expenses. Then on the P&L that account shifted to the last of the headers (Admin Expenses) even though in the chart of accounts it was still under General Expenses.

We've had other issues when creating new accounts (Banks, income and expenses). It all seems to do with accounts being sub accounts of another account.

I solved the previous issue by deleting the old header and creating a new one after all the sub accounts were created and had an entry recorded in them.

Now when I try to do that there remains a difference is what the P&L report or Balance sheet report display and what is in the chart of accounts.

I sent a reply but I cannot see that it went through. So I'm repeating it.

We have headers in our expenses. The headers are things like: General Expenses, Program Expenses, Administrative Expenses. The headers are expenses without a number whereas the detail expenses do have numbers that precede their name and are sub accounts of the header.

I changed one of the numbered expense's name slightly. On the P&L it moved from General Expenses which is listed first to an Admin Expense that is listed last, even though on the chart of accounts it is still listed under General Expenses. So I'm reporting that the P&L report is in conflict with the chart of accounts.

I had a similar issue with sub accounts in the balance sheet (namely banks that are sub accounts of other banks. I ultimately fixed it by deleting the master bank and creating a new one. Re-creating a new header is not working as a fix this time. I have desktop 2016 not on a network.
