Download Credit Card Transactions and Code to A Customer Job

After credit card (cc) transactions are downloaded from the bank feed into the express mode on the bank feed center, it's wonderful that you can quickly code to a COGS or Expense account, choose your vendor, and even class the cc charge. But you can't code it to a customer job?!!!! Am I missing something? Surely you can job cost your credit card expenses to the customer job from this window. You can do everything else, why not this????

Hello, @KingEnt

 

Make sure to setup the preferences that'll allow us to mark expenses as billable so you’ll be able to assign a Customer:Job on your purchase transaction. 

 

Let me walk you through the steps on how to do it:

  1. From the Edit menu, choose Preferences.
  2. Select Time & Expenses and go to the Company Preferences tab.
  3. In the Invoicing Options section, check the Mark all expenses as billable option.
  4. Click OK.

From here, you can now add the name from the Customer:Job column of the expense.

Thank you. This is not what I’m talking about. I’m talking about specifically credit card entries that are downloaded into Quickbooks.

I can help you code your downloaded transactions to a customer job in QuickBooks, @KingEnt.

 

We can simply follow these steps below to code these transactions:
 

  1. Go to Banking and select Bank Feeds.
  2. Click Bank Feeds Center.
  3. Under the ACTION section, select Add More Details for the credit card transaction.
  4. Once there, click the Customer: Job drop-down to select the customer job.
  5. Click Add to QuickBooks.

You'll want to run the Custom Transaction Detail Report in QuickBooks Desktop. You can customize it to show the Customer:Job information for each credit card expense. Here's how:
 

  1. At the top menu bar, select Reports.
  2. Go to Custom Reports.
  3. Choose Transaction Detail.
  4. Click Filters.
  5. On the Search Filter tab, type-in Account.
  6. Click the Account drop-down arrow, and select Credit Card expense

Why can't this column be added to the main Transaction list window? It would save so much time not going into add details on every transaction!

Let's run the QuickBooks Utility tools so you can open and customize the Transaction List by Vendor report without any issues. Doing so, QuickBooks will automatically run a quick repair and fix possible data damage on your company file. I'll show you how.

 

A. To Verify Data

  1. Go to File.
  2. Click Utilities.
  3. Select Verify Data.
  4. Click OK.

B. To Rebuild Data

  1. Go to File.
  2. Click Utilities.
  3. Select Rebuild Data.
  4. Click OK.

This does NOT help. I need to be able to assign a cc transaction on bank feeds to a job without going into add more details and taking the extra steps and time to be able to job cost.

 Currently, there isn't a direct way to add a customer job to bank transactions in QBDT. You'll need to click the Add more details option first as mentioned by my colleague above.

 

I can see how having this option would be helpful for you and your business. I suggest sending feedback to our product developers. That way, they can review your request and most likely include it in our future updates. Here's how:

This feature is time-saving if it'll be available in QuickBooks Desktop (QBDT). That said, I'll help you make everything possible in QuickBooks. 

 

Sending feature suggestions enables our engineers to develop a solution to enhance your overall QuickBooks experience. Proceed as follows: 

 

  1. Go to the Help menu and choose to Send Feedback Online
  2. Select Product Suggestion and complete the other details. 
  3. Click Send Feedback

Thanks for dropping by, @mistymossy. I appreciate you for always coming back to the Community forum to submit your different concerns. Now, it's my pleasure to provide details about the customer:job column in QuickBooks Desktop (QBDT).

 

It would be nice to perform any activities in QuickBooks Desktop without experiencing challenges. Currently, the option to get the customer:job column added to the bank feed import register isn't available in QBDT.

 

I recommend sending a feature request to our software engineers. They'll consider adding this to our future product improvements. Here's how:

 

  1. Click the Help option, then select the Send Feedback Online option.
  2. Hit Select the Product Suggestion option. A pop-up window appears.
  3. Type in your feedback suggestion.
  4. Click the Send Feedback button. The feedback is sent.

Thank you for confirming this. I did submit a request. I found a workaround, I switched to register mode. Then I accept all transactions, go to the first entry and hit edit so it opens the “check” and enter the job here. then hit the little right arrow at the top left to proceed to the next entry.

Here's the problem. 

In QBO, an employee can scan his receipt, fill in the details, and assign the expense to a job, which works great, and gets posted to the books.

This feature is NOT available in Desktop or Enterprise.

We have about 400 similar transactions monthly for dozens of jobs on a dozen different credit cards.

There is no way to track these expenses to a job in Desktop, Trying to do it after the fact is impossible.

And there is no way to have the receipt scanned and recorded for audit purposes.

This is a major shortcoming in the Desktop versions.

I thought QB would be smarter than this.

I understand how useful it is to be able to download receipts and assign the expense to a job in QuickBooks Desktop. 

 

Since this feature is available only in QuickBooks Online, I'd recommend immediately sending feedback to our developer and considering adding QuickBooks Dekstop on the next software update. This way, it can help us improve your experience while navigating your account in QuickBooks.

 

Here's how to do it:

 

  1. Go to the Help menu.
  2. Choose Send Feedback Online.
  3. Select Product Suggestion.
  4. Click the Type of Feedback drop-down menu, then choose Product Suggestion.
  5. Select the Product Area, then enter your thoughts and suggestions.
  6. Once done, click Send Feedback.
