Getting copy of IRS form 1096 when using e-file

I chose to use Intuit e-file for my 1099s this year and have copies of the 1099s but did not see the 1096. Is it not needed when e-filing?

Thank you for the explanation. I just got worried about 1096 and posted a separate question. Still please confirm - State of California will also NOT require 1096 if I filed my 1099-misc from QB online?

Allow me to chime in for a moment and provide some additional information about filing 1099/1096 in QuickBooks Online (QBO).

 

Yes! Regardless of the state, as long as you're using our 1099 E-file Service, you don't need to file Form 1096.

What if your state requires you to send the 1096 with the 1099's you submit to the state?

Allow me to join the thread and help share information about filing Form 1096.

 

Regardless of the state, you don't need to file Form 1096 once you've e-filed Form 1099 or as long as you're using the 1099 E-file Service.

 

If your state requires you to send/file Form 1096, I recommend contacting you state for the filing instructions.

The state instructions ask for a copy of the 1096. How can I get a copy for the state?

It's nice to see you here in the Community. I can help you print your 1096 form in QBO.

 

Follow the steps below to get started:

 

1. Choose Expenses from the left menu.

2. Select Vendors.

3. Click Prepare 1099s.

4. Enter all information correctly for the tax year, then select Print and mail.

5. Choose the 1096 form. If everything looks good, select Yes, looks good! Then select Print on a 1096 Form.

6. If the form needs to be aligned, select No, it doesn't line up and select Next. Then re-select the 1096 form, and select Print on a 1096 Form.

Thanks for pointing me to the "Print & Mail/I'll file myself" option. This does let me print the 1096 data on a Preprinted Form.

If would be nice to have the option to print the data and form as well.

I already e-filed 2019 1099's and paid for them. This step is requiring me to pay again. I am only wanting a copy of the 1096 form that automatically gets filed with the QB online e-file system. Please advise and direct. Thank you

Hello, @flaviolima2001.

 

When getting a copy of the Form 1096, you shouldn't be asked to pay again since you've already e-filed and paid your 1099 form. Just make sure to click the Print button, not E-file.

 

For your detailed guide, follow the steps provided above, or check out this article.

 

If you're still asked to pay again, try printing a copy using a private window. Sometimes, the regular browser tends to hold onto information and over time can cause issues while working with QuickBooks.

 

To save you time, use either of these keyboard shortcuts:

 

  • Mozilla Firefox: press Ctrl Shift P
  • Internet Explorer: press Ctrl Shift P
  • Safari: press Command Shift +N

If that works fine from there, go back to your original browser and clear its cache to start fresh. Also, using other supported browsers can help us narrow the cause of this behavior.

I can help you obtain a copy of the 1096 form in QBO. You can go to the Vendors list to Prepare 1099s. Along the process of getting this form, you'll see 1096 to print it.

 

Let me show you how:

  1. Choose Expenses from the left menu.
  2. Select Vendors and then click Prepare 1099s.
  3. Enter all information correctly for the tax year, then select Print and mail.
  4. Choose the 1096 form. If everything looks good, select Yes, looks good! Then select Print on a 1096 Form.
  5. If the form needs to be aligned, choose No, it doesn't line up, and select Next.
  6. Then re-select the 1096 form, and select Print on a 1096 Form.

You can also create a 1099 report for vendors and vendor payments in case you need one.

Is this still true for 2020?  I e filed my 1099-NEC using Intuit Online Payroll, but I don't see how to do the 1096 by myself since I cannot e-file. And now I can't do paper returns for the 1099-NEC because I already had Intuit do it.

According to the IRS's most recent publication on Form 1096, those that file their 1099-MISC forms electronically (such as with Intuit's E-file service) do not need to submit 1096.

If you want to make sure the 1099s are submitted, you'll receive an email with your filing status after you file your 1099s to the IRS

 

You can also check your 1099 E-File account to see your filing status. Here's a list of the statuses and what they mean:

  • Not Submitted: Haven't e-file the 1099s with the IRS. 
  • Submitted: You have e-filed with the IRS. 
  • Received by IRS: IRS has received the information. They are either processing it, or it has already been approved.

Thank you for your answer, Charles.  I went back to the instructions you reference and I do see that it says no 1096 for e filed 1099's....but, I posed a question on here at the same time in another thread, and got a different answer from two other people on Intuit help - Mark_R and Rea_M, which is causing me the confusion.  Your answer is the only one that makes sense, especially when it is telling me that if I file them by paper now that they are e-filed and accepted, I will be fined by the IRS!  Plus, you, Charles, have admin status, so I would think that is the highest rank?  It is so confusing that I want to cry.

I'm here to clear things out for you about 1096s, @LeeAnna.

 

Form 1096 is a single transmittal form that reports all payments made to all your contractors. After you e-file, the summary form (1096) is automatically transmitted. It's basically an index or a list of the 1099s that are included in the filing. 

 

Yes, Charies_M is right. You no longer need to submit one if you use Intuit's E-file service in filing your 1099s. 

 

I'll personally notify Mark_R and Rea_M so they'll update their answers, so it'll not cause any confusion.

Hello,

I am having the same question as some of the other users are having. 

Please read the following carefully as this is the reason I am looking for the 1096. California requires the 1096 when submitting the 1099s to them, which they require. 

I efiled with Quickbooks and there was no 1096 provided because as you say above, it is not necessary for filing with the IRS. When I click on print and mail to obtain the 1096, it needs to be printed on a 1096 form, which I did not purchase because I e-filed with QB. Can you please tell me how to print out a 1096 form for this?

I'll definitely help you come up with a way to print the 1096 form for the state submission. 

 

You can use a blank paper if you don't have the pre-printed 1096 form. However, if your state requires you to submit the form with a pre-printed paper, you'll want to order it before printing. 

 

You can contact the IRS for the 1096 orders or you can purchase some from us. Click this link for the kit: https://intuitmarket.intuit.com/tax-forms/1096-forms.

 

After getting the form or preparing the blank paper, you can start printing the form for submission. Do the same steps for the printing process.

 

Make sure to select the 1096 form, then click the Print on a 1096 form button (you can do this with or without the pre-printed paper).

How i can get copy of the all 1099s for year 2018 that i sent to my subcontractors ?. Florida state is asking me for those copies. Employers form allow to download  years 19 and 20...only

I'd also like to ask if you e-filed the forms through QuickBooks? If so, you can follow these steps on how to access previously filed and archived tax forms: 

 

  1. Go to this link: https://iop.intuit.com/login/login.jsf?only1099=1. 
  2. Enter your Intuit login credentials. 
  3. Click Sign In
  4. Select View past forms page. 
  5. Print the form. that you need.

What about state copies (Mississippi & Tennessee)? My business is located in MS, but I have contractors in both states. Do I need to send copies to each state, if I efiled, with quickbooks online? I'm new to all of this, and I'm not sure. OR can I eFile them, just like I did with the IRS? I just don't want to have to go purchase a 25 pk of forms for 4 contractors.

The State of NH Employment Security just audited my business. Because I have e-filed my 1099s I have not recieved 1096s. The state was asking for 2020 (it is now 2023) information and I need to get access to past year 1096s
