Hello team, We have project expenses. But My QBO is not Showing project profitability. My Other colleague has showing project profitability. How i can enable?

Let's find the Project Profitability report, adnan-munir.

I appreciate it that you've checked what your colleagues can see on their end before posting your question. However, it's quite strange because once you have access to Projects, you should also see its features like the Project Profitability report.

I tried checking this using my test account for comparison, and I can still see the report when I open a project and go to Project Reports.

We'll do the browser troubleshooting steps to see if an issue is causing the missing report. Seldom, sections in QuickBooks are missing or not loading due to some random browser and network issues.

To start, let's open an incognito or a private browser and sign in to QuickBooks. This step disables the browser extensions and stops the cache from saving your browsing data.

  • Google Chrome: Ctrl Shift N
  • MS Edge and Firefox: Ctrl Shift P
  • Safari: Command Shift N

If you can see the report, you can clear the cache of your browser. If it's still not there, please try signing in using other browsers for comparison.

You can always go back to this thread if you need further assistance.

I've got you covered today, adnan-munir.

Thanks for sharing your circumstances in finding the Project profitability report on your QuickBooks Online (QBO).

Looking into your screenshot, your almost there. Just a few clicks and you'll get the Project profitability report. I'll walk you through on how to do it below:

  1. Go to Projects and choose a project.
  2. Click the Project Reports tab.
  3. Choose Project profitability and click View.

Learn more about managing Project profitability report through this report: Track income, costs, and profitability by project.

To ensure that you get the most out of the Projects feature, feel free to check out these article:

If the steps above doesn't work, we'll have to look into your access as a user of the company file. Since you've mentioned that the report appears on the admin login, you'll probably using a Standard user type which was set to a None level. This means a user can't use any of the accounting features in QBO aside from submitting time sheets.

Here's an article to become more familiar with the different user types in QBO: User types in QuickBooks Online.

If this is the case, you can ask your admin to update your user type so you'll be able to see the Project profitability report.

I'm adding this article that you can share to the admin of the company for the steps on managing users: Add, delete, or change user access.

If there's anything I can help you with, feel free to drop me a reply below. Hope you have a good one.

Let me share details about user access and utilizing the Projects feature in QuickBooks Online (QBO), @adnan-munir. This way, you'll be able to determine your user type and identify why you're unable to view the combine profitability of your projects using your login credentials.

Based on your description of the issue and the screenshot you've provided above, it seems that you're referring to the chart/graph and the Profit Margin columns that are included in the Project table. (Please see screenshot below).

The chart and the Profit Margin columns that shows when opening the Projects tab is only visible for those users that's logging in to the account as administrators.

On the other hand, there are different user types and levels of access in QBO. The Projects page can be viewed by Standard and Admin users. With this, it looks like you're currently a Standard user in the account. This is why you're seeing a different screen compare to your admin. You can let your admin update your login or user access so you can view the chart and combine profitability of all the projects your company has. Once ready, let your admin perform the following:

  1. Go to the Gear icon.
  2. Select Manage Users.
  3. Find your name, then select Edit under the Action column.
  4. Go to the the User type drop-down to choose your access.
  5. Click Save.

To learn more about the different user types and levels of access in QBO, kindly refer to  this article: User types and user permissions in QuickBooks Online. It includes details about billable, non-billable, and user type per QBO plan.

Additionally, you can use projects to quickly calculate your project income and costs. This way, you'll get a clear picture of your profits from every project. You can learn more about this by checking out this article: Track income, costs, and profitability by project.

Please let me know if you have other concerns. I'm just around to help. Take care always.

Let me help you figure out why there is no income on your projects, maxmatte.

First, you need to check if transactions aren't tied in asset, liability, or equity accounts. This can be the reason why there is no income on your projects.

Let's go ahead and check the transaction. Here's how:

  1. Go to Projects.
  2. Select the project name, then open the transaction.
  3. Take note of the item/service.

Then, let's open the product or service's setup. Make sure to change the account it's linked to income. Here's how:

  1. Click the Gear icon.
  2. Go to Products and Services.
  3. Select the item/service, then click Edit.
  4. Click the Income account drop-down arrow, then select the appropriate account.
  5. Click Save and close.

If these are services or non-inventory items, when you change the income account, ensure to tick the Also update this account in historical transactions box. While if these are inventory items, it will automatically transfer the amount to the right account.

If it didn't transfer the historical transactions or amounts automatically, you can edit or delete the invoice. This way, our system will recognize the new income account the item is linked to.

After that, check the Projects page again and see if you're now seeing the income.

Check out these articles about Projects that can help you.

Keep me posted if you have additional questions about your income not showing on projects. I'll be right here to provide additional information whenever you need it.

Hello team, We have project expenses. But My QBO is not Showing project profitability. My Other colleague has showing project profitability. How i can enable?

I am struggling with this as well, and I do not accept the answer that ONLY admins can see the expenses and costs slider bars, as well as project over tab (missing on all user types except admins).  One of the reasons we switched project management software to switch to QBO was this function is shown on videos.

I have hired 4 project managers, and by way of their job title, it is crucial to managing project costs, profitability, etc.  We absolutely need this function to be available to mid-level managers and project managers, it's inherent in their daily roles that they have access to this information. This is a major oversight on behalf of Intuit, and needs to be addressed. Please help!

Hello team, We have project expenses. But My QBO is not Showing project profitability. My Other colleague has showing project profitability. How i can enable?

Let me chime in and assist you further with your concerns, @CB Rob. I'd like to share some information that'll help you with how you can handle projects in QuickBooks.

This isn't the kind of experience I want for you. I also recognize the convenience of being able to share the information with your managers. Rest assured, I'll make sure to help you.

As my colleague mentioned above, access to projects may be limited depending on the user’s permission. Currently, QuickBooks Online doesn't have the option to give access to your mid-level and project managers.

I’d suggest sending a feedback request to our product development team. They will evaluate these and pick some of them to include in future updates. This way, we can help you with your business needs.

Here’s how:

  1. Go to the Gear icon.
  2. Under the Profile column, click on Feedback.
  3. Share your feedback. Then, click "Next."

You'll want to track your suggestion through this website. You can also visit our blog to keep up with all of our recent events and developments.
