How do I add in a convenience fee for paying by credit card?

When are you going to add this item? Other accounting companies offer it and you are the biggest company. You should work on fixing it. 
unless you don’t care that people will switch to other apps. 
we are loosing a lot of money

Why make the convenience of paying with a CC a negative experience for the customer when there has been a long tradition of gouging the merchant?   Even in their "work around" the customer may OVER PAY by check.   In the age of computers....... this is ridiculous.

This question was first posted back in April of 2019. Nothing has changed since then and it doesn't appear that it will. 

 

But, I encourage everyone that wants this feature to keep asking. There is no legal reason for this feature not to be present.

Is there a QB solution yet for this thread concerning passing along credit card processing fees to the customer, or bypassing them for customers who choose a different payment method? This is a very needed feature!

Most respectfully, this is not a solution to the credit card processing fee issue. Quickbooks should have an automated checkbox associated with an invoice where, if the Customer pays by credit card the business has the option of passing along the convenience fee, but if the customer uses another option like a check there is no fee. State, local government and others who routinely pass along the fee automatically include the processing fee in the payment screen. Someone using Quickbooks and Quickbooks credit card payments should have the two systems talking to each other to automate this on the back end. When will it be available?

As of now, we're unable to provide a definite timeframe yet for the release date. But rest assured, we're bringing all customer's ideas and suggestions to enhance the QuickBooks experience. 

 

In the meantime, I'd suggest following the steps presented by my colleague Catherine_B in tracking the customer convenience fees if you're using QBO. On the other, if you're using QuickBooks Desktop, please come after IamjuViel's actions.

MichelleBh, I know you are just trying to be helpful and provide a complete answer, but suggesting those solutions strongly indicates that you are not listening to what is being requested. Both of those "answers" have been repeatedly rejected as not being useable.  They DO NOT answer what is being asked in this thread. 

 

Please, just be honest. This request is over a year old. At this point Quickbooks should be able to tell us an estimated rollout date or that they are not playing on offering this option. If you can't give us a date, then the only honest answer is the latter.

Call it a convenience/handling fee, like every state and local government, the motor vehicle departments and everyone else who is doing it. Quickbooks users need a working feature that allows something like this in an automated fashion.

I posed this question as well. Quickbooks has no intentions of doing it. I don’t know why either. But ever since they to me to go into the “gear” icon and gave a “work around” for the request of adding in a convenience fee I just turned off the paying by credit card feature off my invoices. I know in 2020 from my business alone quickbooks missed out on thousands of dollars in transaction fees they could have capitalized on. I’ve been giving incentives on Venmo payments.

The fact that this thread has been going on for nearly 2 years, and the QB still can't get their act together is very disconcerting.    The "tone deaf" replies by QB staff that provide semi-functional (at best) workarounds, is a sign of not listening to the customer.      We are doing $1M in invoicing a year, and losing money because of not being able to adequately deal with credit card convenience fees.   Although the loss of our small business using QB won't hurt QB, I value customer service more than price.     Can someone recommend a good software that they have moved to that does the auto calculation / application of credit card fees?

I don't think it has anything to do with them not having their "act together". Management has made the decision not to provide this functionality. I don't know if it is because someone in a decision-making position dislikes those types of charges, or that it is not profitable to offer them. Just tell us the truth, that a business decision was made not to offer those services. Don't have your customer service personnel have to post what are lies of omission. 

 

Also, if you find a good package and a decent way of moving your records over, let me know.

Looks like that would work similarly to Paypal and the other third party options, correct? If there is just one invoice, or maybe even a few invoices, you can create a Paypal custom payment link and separately paste it into each Quickbooks invoice, either as a line item (e.g., "Click here [insert custom paypal link] to pay by credit card - 3% convenience fee applies," and add the convenience fee in Paypal or whatever 3rd party credit card payment system you are using, but that is an awfully labor intensive hack because you would be invoicing in Quickbooks and again (with a different higher amount) in whatever credit card payment system you use, and then moving back and forth between the two. And what happens when the customer clicks the Paypal or other third party link and decides to pay with Venmo or ACH - now the amount invoiced in the 3rd party system is wrong. What a mess that would be... The absence of a flexibile, integrated credit card payment system by Intuit is is just a huge failure with the existing Quickbooks products. Too bad we didn't understand that when we all purchased our accounting product. Who has found an acceptable alternative to Quickbooks with easy to import feature? If so, post it! Small businesses need options.

This thread is a couple years old and charging a convenience fee has become much more common now for all business types (not just government or utilities).  I don't know why a timeline isn't known...the ability to charge this fee has been in the works for 5-10 years and with the legal challenges solved over 3 years ago it is well known and used across many industries.  Like many people, we have invoices that make taking credit cards over $10,000 not practical unless they pay a fee.  The crappy solutions QuickBooks is offering here are not practical to implement since most people don't know how they will pay until after getting the invoice. Please prioritized and get this done now!

Do you have to add the additional 2.9% fee when you send them the link for payment?  Or does it automatically add the 2.9% once they choose to pay online?

You can record the processing fees in two ways. I'm here to share them with you.

 

First, you can add an expense amount when recording a payment/bank deposit.

 

Here's how:

 

  1. Go to the (+New icon, then select Bank deposit.
  2. Select the payment you want to deposit.
  3. Add the processing fees in a negative amount under the Add funds to this deposit section.
  4. Save the transaction.

 

The second option is to add the fees to the customer's invoice. You can add the fee to the invoice if you want your customers to pay the processing amount. Before that, you can use a service or a non-inventory item to record the fee. 

 

  1. Go to the (+) New icon, then select Invoice.
  2. Fill in the information (date, item, amount, and others).
  3. On the second line, choose the item created, then enter the fee amount.
  4. Save the transaction.

As another option, ask your client to pay your invoice with another payment service. They will pay their own credit card fees.

I didn't see anyone address your question. The answer is yes. You have to calculate the fee twice, then add that fee to the new line to end up at the exact amount you intended to invoice. It's a PITA.

 

As an example, $100 invoiced and paid with ACH is $100 x %1.0 = $101.00... but if you add a line for a $1.00 fee, the total fee is calculated on the $101.00 and you will end up with $99.99 after the fee. You have to invoice $101.01. It's the most ridiculous thing. Here's a google spreadsheet with what we setup.

Use the "Credit Card" Check box on invoice when sending invoice via email. I have the credit card swiper if a customer wants to pay with that method.

If anyone has suggestions for which service to switch to, I'm all ears. I'm sick of QBs putting no effort into development based on customer feedback.
