How do I attach a image to a estimate or a invoice

Hi there, @mattm.

 

To attach an image to an estimate or an invoice in QuickBooks Online is very easy. Please follow these steps below.

  1. Select the Plus icon.
  2. Choose Estimate or an Invoice.
  3. Enter the needed information.
  4. At the bottom left of the page, select Attachments.
  5. Browse and select the file you want to attach, then click to open.
  6. Select to Save and send.

You can also add or attach an image to any transactions you have. Here’s how:

 

  1.     Open the desired transaction.
  2.     From the bottom left, select Attachments.
  3.     Browse and select the document you want to attach.
  4.     Select Open, then Save and close.

When you attach an image or file in an estimate, when you send the email it does note seem to organize these attachments in a specific order I have tired numbering the files or adding the files as I would like them organized in the email and each time they send in a random order. How can I organize these attachments.

QuickBooks Online organizes the attachments randomly. We're unable to change or organize them by alphabet or numbers.

 

You may want to send feedback. It will help us know your insights and ideas. Just click the Gear icon and select Feedback.

Okay, QuickBooks support - I will throw in a supplemental question to the original question - whenever I add photos to estimates or invoices, the photos fall off and disappear after a specific amount of time. It's super frustrating. Is there a setting to keep them on the estimate or invoice indefinitely??

At times, QuickBooks Online encounters unexpected behavior, such as files automatically detaching from transactions due to accumulated cache and cookies. In the meantime, I recommend using a private browsing window that doesn't store files. Browsers use cache and cookies to load web pages faster.

 

To open an incognito window, you can refer to these keyboard shortcuts:

 

  • Google Chrome: Press Crtl+Shift+P
  • Microsoft Edge & Mozilla Firefox: Crtl+Shift+N
  • Safari: Press Command+Shift+N

 

If you can now attach your images without disappearing in a specific time, consider returning to your regular browser and clearing its cache and cookies.

 

 

If you still have the same result, I suggest utilizing another supported browser. It can help us identify if the issue is specific to your current browser.

I understand the route you are trying to take me. However, the problem persits across all platforms (desktop PC, Mac  laptop, my android phone, my wife's Apple phone). So, it's definitely not a cache issue. It's also not a slow running app issue, either. I never said it was running slow. The problem is: My legacy (older) records (both estimates and invoices) literally disappear over a specific amount of time. Is there a setting that I can use to cause QB to keep them indefinitely?

Thanks for revisiting the thread, Skotty. I'll share an overview of attachments in QBO and then connect you with the appropriate support team to investigate your concern further. 

 

In QuickBooks Online (QBO), once you upload an attachment to your invoices or estimates, it remains accessible in your transactions. There's no need to change any settings to keep them indefinitely. You may check the Attachments folder to verify if your missing photos/files are stored there. Please refer to the steps below:

 

  1. Go to Settings.
  2. Select Attachments.

  3. Locate your missing photos/files. If the image is linked to a specific transaction, it will be indicated in the Links column.

Additionally, the maximum file size for attachments is 20 MB. Check out this article for more information: Add or delete attachments in QuickBooks Online.

 

If the photos are still missing, I suggest contacting our Customer Support Team. They have the tools to access your account, trace the root cause of why your data disappears after a certain period, and provide a resolution.

 

  1. Sign in to your QuickBooks Online (QBO) company.
  2. Click the Help button.
  3. Hover to the Search tab, then select Contact Us.
  4. Type in a brief description of your issue.
  5. You have the option to choose Callback to request a return phone call.
