Hello, jondalrymple.

I'd like to give an idea to help you process a customer payment.

Changing the customer name will also change how credits and payments were applied. You can delete and reprocess the payment in order to select the correct customer name.

Here's how:

  1. Go to Sales on menu ☰.
  2. Click the Customer tab.
  3. Select the name of the customer on the original payment.
  4. Locate and open the transaction.
  5. Click on More, then select Delete.

Once done, you can redo the payment with the correct customer name.

Like this:

  1. Click on +New
  2. Select Receive payment.
  3. Select the customer name on the drop-down.
Note: It will automatically choose any open invoice for the customer you selected.
  4. Enter the amount.
  5. Click on Save and Close.

I'll be adding this link for more information about payment: Take and process payments in QuickBooks Online

Let me know if you have further questions or concerns, I'm here to help. Have a nice weekend!

Thanks Archie, that's a great review of how to add a payment, but I'd like to be able to CHANGE the customer on a payment and NOT have to re-enter the amount. It seems to me that if I can do that on an invoice I should be able to do that with a payment as well.

Hi jondalrymple,

At the moment, there isn't a setting to keep the amount even if you change the customer. I'll take note of this as feedback to be considered in future updates.

Hello,

I tried calling customer service yesterday, but unfortunately they have less knowledge than I do. I'm hoping you can help me. I need to change a customer's name (In Quickbooks Online) so that it will communicate properly with our construction software. How can I change it without UNlinking all of the bills from invoices?

Thank you in advance!

Let me guide you on how to edit your customer's name, Stagriff.

You can go to your customers' profiles and change the name from there so it would match your construction software. To do this, follow the steps below:

  1. Click the Sales menu, then go to the Customers tab.
  2. Select the customer on the list.
  3. Go to the Transaction List tab and click the Edit button.
  4. Click Save.

Any changes made to the customer name won't affect any of your transactions. Please read this article for more information: Add and manage customers in QuickBooks Online. In addition, you can also run customers reports and filter them to get the information you need. Check out this article for you to be guided: Customize reports in QuickBooks Online.
