How do i export invoices into Excel in QBO ? ..The prompts i have used for years are gone...

Good morning, rickybrake.

Thanks for taking the time to reach out for support here in the Community. I'm here to provide some info about exporting invoices to Excel in QuickBooks Online.

This can be done in a few quick steps. Here's how:

1. Hover over the Sales tab in the left navigation menu, and click All Sales.

2. Change the type to Invoices, and enter any specific dates and customer(s) if necessary.

3. Then choose the icon with an arrow pointing up, above the action column to export the list to Excel.

You can also export the Invoice List report by:

1. Going to the Reports tab.

2. Enter the Invoice list in the search field and select it.

3. Make any necessary customizations and choose Run report.

4. On the report page, click the Export button, then select Export to Excel.

That will do it! The following article provides additional info about exporting reports, lists, and other data from QuickBooks Online. Please feel free to leave a comment below if you have any other questions.

How do i export invoices into Excel in QBO ? ..The prompts i have used for years are gone...

Dear Morgan. I have read your reply and found that you may help me with the following challenge:

I have a new account in Qb and just finished the SALES part key in.

And before keying in the COST part, I found that my home currency in USD, but it must be SGD.

So all my costs are in SGD, but sales are in USD.

To key in - correctly, I must change my HOME CURRENCY to SGD, but to do that, I must RESET my account without wasting all my invoices.

I chatted with support, and they told me that I must export invoices, reset my account > and import invoices back, but I am afraid of losing data, and I need professional help.

CURRENT STATUS:

My home currency USD

My sales are in USD, and my cost in SGD

NEEDED STATUS

My home currency in SGD

My sales are still in USD, and my cost in SGD

How do i export invoices into Excel in QBO ? ..The prompts i have used for years are gone...

Hi there, @marinabaytravel. Allow me to share some information and provide assistance in changing your home currency from USD to SGD.

In QuickBooks Online (QBO), we can basically change our Home currency in just a few easy steps. However, if you've turned on the Multicurrency feature, the only way to change the home currency is to delete all your data and start over from scratch just like what one of our supports recommended to you as this action is irreversible.

Refer to the image below to check if your Multicurrency feature is turned on:

With regard to starting over, since we can only move lists from QBO to another QBO or QBDT account, yes, you can consider running invoice-related reports such as the Invoice list report and exporting it to Excel. When you're done setting up a brand new account, you can import those invoices again. I've included this article to help you export your data: Export reports, lists, and other data from QuickBooks Online

When ready, follow these steps in deleting your account:

If your account is less than 60 days old.

Note that purging company data is only applicable to QBO Plus, Essentials, and Advanced.

  1. Log in to your QBO account as a company admin.
  2. Change the URL to include /purgecompany. So from https://...qbo.intuit.com/app/homepage, to: https://...qbo.intuit.com/app/purgecompany for example.
  3. The next screen will provide a summary of the items to be deleted.
  4. Type the word “YES” once the data gets deleted, then click OK.
  5. Click Wipe Data once your selections are complete.
  6. Once the deletion is complete, you will be rerouted to your home page.

The system deletes all data entered into the company, and you're unable to restore or reverse them.

On the other hand, if it's 60 days old or older, follow these steps to cancel your account. If you use payroll, you should cancel your payroll subscription too. Please note that after the account deletion, we keep your data for one year so you can come back to your previous account if you decided to do so.

When done, you can start a new company by following these steps:

  1. Sign up for QuickBooks Online.
  2. Enter your user ID and password. You can use the same user ID and password as before.

Moreover, I'll be adding this article that'll help you in adding and deleting multi currencies: Set up and use multicurrency in QuickBooks Online

Please know that you can always go back here in the comments if you need further assistance in managing your QuickBooks Online account. It's my priority to make sure you'll get the assistance you need and help you accomplish your tasks. Take care always.

Hi marinabaytravel,

Thank you for always following this up. I'll continue to assist you with handling your invoices.

Know that in QuickBooks Online Singapore can only import invoices. We're unable to export them. I understand how much it would help if there's an export option so you can move them to another company file. I would encourage you to submit this as feedback. This way, our engineers can consider adding that option in future updates.

  1. Click the Gear icon.
  2. Choose Feedback.
  3. Enter a sentence or two to describe your feedback and click Next.

Given that we're unable to make changes to your currencies in QuickBooks, your option is to start with a new QBO subscription and re-enter everything. You can start with exporting your list of names, accounts, and products and services so you won't have to enter them again.

Let me know if you have other questions in mind. Have a good one.

@marinabaytravel

If you sign up for QBO Singapore version, your default currency will be SGD by default. You should signup for a new account and migrate data from your old account or purchase a 3rd party migration service.

You can troubleshoot your browser to resolve the missing export icon in QuickBooks Online (QBO), Eddie, and I'm here to assist you.

Missing options in QBO are caused by an outdated cache stored in your browser. To clean them up, I recommend accessing your account in an incognito window. Here are some keyboard shortcuts you can follow:

  • For Google Chrome browser: Ctrl + Shift + N
  • For Mozilla Firefox browser: Ctrl + Shift + P
  • For Safari browser: Command + Shift + N

If the export icon appears, you can clear the cache in your default browser or consider switching to another supported one.

Alternatively, you can run the Invoice List report and export it to Excel. Here's how:

  1. Go to Reports and search Invoice List.
  2. Customize the report.
  3. Click the export icon dropdown, then Export to Excel.

We'd also appreciate it if you could share a screenshot so we can visualize the issue and provide more appropriate troubleshooting.

In addition, you may want to personalize the appearance of your invoices to make them look eye-catching to your customers.

Feel free to get back to us whenever you have additional questions about exporting your invoices in QBO. The Community is always willing to lend you a helping hand. Keep safe and have a wonderful day ahead.

There is NO icon with an arrow pointing up.  There is only a gear icon.  How can this be accomplished?  Or is this one more thing that belongs TO US that quickbooks is going to hold hostage from ourselves?

I can see that exporting invoices is essential in tracking and managing your company's profits and receivables. Allow me to assist you regarding your query and provide further clarification about the instructions provided by my colleague.

To start, kindly refer to these steps and snapshot to properly locate the Export icon (arrow pointing up):

  1. Open your QuickBooks account.
  2. Go to the Sales menu, then All sales.
  3. Modify the Type and Date fields accordingly.
  4. Click the Export icon beside the Print option.

On the other hand, please know that a user's ability to access and export invoices depends on the user permission assigned to them. That said, may I ask if you're the primary admin of your QuickBooks company? If not, I recommend checking this resource to verify if your QuickBooks role can initiate this task: User roles and access rights in QuickBooks Online and Intuit Enterprise Suite.

When needed, you can ask your company's primary admin to modify your user role so you can proceed with this action.

Meanwhile, if you're the master admin or should be allowed to export invoices based on your user access, let's perform some browser troubleshooting steps. We can start by opening your account using the incognito session. Doing so helps us verify if this is a browser-related issue.

To proceed, refer to the keyboard shortcut keys below that vary by browser type:

  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + N
  • Google Chrome: Ctrl + Shift + N
  • Safari: Command + Shift + N

If the Export icon is visible in your All sales page while using a private browser, please revert to your regular browser and clear its cache and cookies. This will remove all your corrupted browser data, helping the platform reestablish its full functionality. Once the issue persists, you can consider using another supported browser to narrow down the result.

Additionally, if you want a proper view of your inventory quantity and profitability per item, you may utilize your reports to achieve this. For more details, refer to this article: Use your reports to track your sales and inventory status.

Whenever you have additional questions about invoice management or exportations, click the Reply button. Your seamless experience in QuickBooks is our utmost priority.
