How do I send statements to individual donors

Congrats on making your first post here in the Community. I hope your week is going well so far. I can give you some insight into sending statements to individual donors for tax returns. 

There are a few reports that could work for you and your business. Allow me to point you in the right direction. 

1. Go to the Reports tab on the left-hand menu bar. 
2. Select the Reports portion of the page. 
3. Choose the Standard option. 
4. Scroll down until you see the Who owes you section. 
5. Pick the report that works best. 

You can also try customizing the report to help. After you get the report you want, it's time to export or email it to your donors. Once you're on the report, all you need to do is hit the email or export icon. Here's a visual below:

Creating statements and emailing customer statements in QuickBooks Desktop is simple. This document is a summary of the customer's account, listing recent invoices, credit memos, and payments received.

To get started, follow the steps below:

1. Go to Customers menu, and select Create Statements.
2. Pick the appropriate A/R account. QuickBooks displays the A/R Account field ONLY when your Chart of Accounts contains more than one A/R.
3. Update the statement date.
4. Choose the date period of the transactions. Specify the dates or you can include all open (unpaid) transactions as of the statement date.
5. Select the customers you want to print statements for.
6. Once done, press Print or E-mail depending on how you want to send the statements to your customers.

Thanks for following up on this thread. I'd be glad to provide some additional info regarding donor statements in your QuickBooks Desktop account.

You can view, print, and distribute donor statements by creating customized reports. Here's how to get this done:

1. Run the report you'd like. Many people use the Sales (or Donations) by Customer Summary.

2. Choose Customize Report in the report window.

3. You can then select to filter the statement for each of your donors and choose the date range to show donations for the year.

I recommend checking out the following linked article for additional info about customizing reports in QuickBooks Desktop. 

With this info, you'll be able to view and print statements for each of your donors stating their yearly amounts. Please don't hesitate to reach back out if you have any other questions. I'll be here to help.

QuickBooks won't create proper donor statements. Instead, use our BRC Donor Statements - QB Online , which will.
