those people who program QBO not to have the system transactions IDs are obviously non-accountant.  How do you search for a transaction with the offsetting entry without a transaction ID?  This makes it so hard to reconcile or to figure out how to fix the original entries

I am wondering if there is any update in the features of QBO to provide information of the Transaction ID for each line item on the General Ledger. I only have a standard access on QBO of this client so I am not sure if the transaction ID is not visible due to full access restrictions.

Welcome to the QuickBooks Community. Let me share details about transaction ID and how it applies in a report in QuickBooks Online. Then, ensure you can send feedback so your suggestion is forwarded to the Product Development Team.

 

As mentioned above, QuickBooks Online will automatically assign a transaction number to your sales transactions. Then, you have the option to manually enter the Ref no. or No. field for expenses and other vendor-related entries. This way, they'll reflect when you pull up and customize the Transaction Detail by Account report. 

 

However, the option to provide or add Transaction ID for each line item on General Ledger is still currently unavailable. Please know that having standard or access restrictions isn't the reason why you're unable to see the transaction ID. Also, we’re unable to provide you with a specific time frame as to when this feature will roll out. Please know that having standard access isn't the reason why you're unable to see the transaction ID. 

 

For now, I suggest going to the Gear icon in QuickBooks Online. From there, you're able to choose Feedback to submit a request about adding Transaction ID for each line item on the General Ledger report. Any recommendations are sent to our engineer for consideration in future updates.

How to Show Transaction Numbers in Transaction Detail Report

It was probably already mentioned that in QBO's audit history there is an ID number.  It would be nice for audit purposes if this ID were searchable, and accessible in a report.  Again, maybe this was already addressed? 

 

A partial work-around, while not sufficiently bulletproof for auditors tracking transactions, may help many others:  Adding "Create Date" to your transaction reports will provide a pretty good uniqueID.  I don't know for sure but I suspect "Create Date is a Date-Time stamp (YYYYMMDD-HHMMSS) is set when QBO writes the transaction to their database and does not vary once the transaction is created.  Is "Create Date" unique?  Not necessarily, but if your transaction volume is not huge, it might work for you.  To be a bit more careful, try concatenating all transaction field values into one text field, including Create Date: this still might not produce a unique value, but the number of duplicates will be reduced significantly.  Hope this helps.

Thanks for this. But when we have multiple users recording transactions, it'll be a nightmare to find out what has or has not been recorded without the transaction ID, which some systems use as batch number or ref number. 

 

Surprisingly the info as important as the transaction ID functionality hasn't been enabled in QBO yet. We need it in adjusting items especially when you have multiple users recording new transactions and adjustments because it helps us know who-recorded-what-and when.

 

Is there a timeline where this can be solved? We are allotting an extra day per closing cycle to match reconciliations, especially with transactions with the same amount and received/paid in the same day.

I'm here to help share insights about displaying the transaction numbers on your report in QuickBooks Online.

 

As of the moment, the option to show the transaction number details while generating any of your transaction detail reports. And I am also unable to determine when such a feature like this is added to the program.

 

For now, we may need to use the Description column as the field for your transaction numbers. If you haven't yet, I recommend getting in touch and letting our product developers know about this by sending a request via feedback. I'll show you how.

 

  1. Go to the Gear icon.
  2. Under Profile, select Feedback.
  3. Describe how entering your transaction numbers in every line item of a transaction is helping your reports display your company's financial activity in QuickBooks.
  4. Select Next.
  5. Click Skip and send message.

I followed this whole feed and I'm trying to find out how to run a transaction detail report in QB desktop that gives me the column with the QB unique assigned identifier number.  I see a lot about QB online but nothing that tells me how to get that in QB desktop.  Can someone please tell me the steps to get that system generated number for each transaction on my transaction  detail report please?

How to Show Transaction Numbers in Transaction Detail Report

When making a journal entry, QBO captures the Journal no. in the journal no. field on the header.  That number is reported as a concatenation of the action and the journal no. in the audit report.  Why can ALL transactions not have this id?  It is just good/required accounting, makes audits easier, and tracking easier for all.  Or add a proprietary QBO sql for users to query their data.

I came here looking for the same thing. Apparently the TRANS ID number is indeed in the URL of QBO but some how not utilized in the actual QBO platform. Here is a screenshot of what I see and I think this is exactly what everyone is referencing to. Its a system generated ID that is assigned to each transaction. 

 

What we are wanting is a way to reference to the TRANS ID that is generated by QBO as shown in the attached image. The txnId portion of the URL is the transaction ID. So yes QBO does generate a TRANS ID but doesn't utilize it throughout the platform.

Late to the party, but could not agree more. As a person who has spent over a decade working in large corporate it is absolutely asinine to me that they would not make it accessible to us unless it's for the reason you are mentioning.

 

A unique transaction ID is the corner stone of data in the database as well as in doing any kind of quality analysis en mass. Removing a feature of this nature (and yes, the prior poster is correct, you would have had to intentionally exclude it, there is absolutely no way it isn't there in the background and could be added with almost no effort) would make me advise any company with enough size to require quality custom analytics choose a product other than Quickbooks.

 

EDIT: This thread is around for a 4th year now and all that Quickbooks seems to have to say is "submit a feedback." This is not about some niche request a small number of people wants. As many people have indicated if you are an accountant that is half competent you'd consider this an absolute must for many reasons and combined with the fact that it should be an easy feature to implement the only logical conclusion is that Quickbooks doesn't think it's in their best financial interest to add it. If that's the case then just be honest.

You can indeed have the internal transaction number show up in the Transaction Detail Report.  It is actually called the Transaction ID.  The trick is to use the New Enhanced Experience (or Modern View) version of the report.  This version is available in QuickBooks Online Advanced.  It allows for a whole lot more customization of the report including adding many more columns than what are available in the Classic View Transaction Detail Report.  See the image I have attached that shows how to add the Transaction ID column to the report.

We just got the Dancing Numbers plugin and it shows a QuickbooksID that is unique for every line. This was $100 for 1 year.

Because Quickbooks seems to be completely incapable of answering questions about their own products, the only report I've seen in QBO that shows the transaction IDs is the "Journal" report.

I'm a new online user and transaction ID # is very important for me to track what I've done.

I;ve found that after entering a bill or payment or any type of transaction if you save, and then click on "more" at the bottom and then choose transaction journal, it will show you your transaction id and the transaction you completed, you can record the number or print the journal ( choose export to excel to avoid printer issues!!) Alot of work just to get the Id!

or under reports you can choose "Journal" and then enter the perameters you need, it will list the iDs

I've been printing that report every day so that I can track my progress.

Wouldnt it just be easier for Quickbooks just to give it to us as we save???

Please, I have faced the below Issue 
In QuickBooks Desktop, when you run a transaction detail report (Transaction Detail By Account), you can see the transaction number that is automatically assigned by QuickBooks. but when exporting to Excel and sorting by Tans Num # I found the number had jumped from 182125 to 182141 on the same day.

Hello there, Ali. I'm here to share details about the transaction number of your exported report in QuickBooks Desktop (QBDT).

 

You're correct, QBDT automatically assigns transaction numbers for various transactions, including invoices, bills, sales receipts, and checks.

 

A possible reason why the number jumped from 182125 to 182141 is that there are transactions recorded between them that don't have transaction numbers like liability checks. When sorting numbers in Excel, the sequence will display the numbers in ascending or descending order, regardless of any missing numbers in between.

 

That said, I recommend double-checking your transactions in QBDT to verify if there are transactions numbered 182126 to 182140. If there is, please customize the reports before exporting them to ensure the transaction numbers appear correctly in Excel.

 

Additionally, you can memorize your reports to save your current customization for future use.
