Invoice Customization in QuickBooks Enterprise 2021

I have a multi layered inventory structure.  I need the full item name to print on the invoice.  However I already use the sales description for something else.  The full name show on screen but I cannot get it to print on the invoice.  Does anyone know a fix for this?

Glad to see you here in the Community, @Tdelevati

Allow me to help and point you in the right direction about adding the item name to print on the invoice.

In QuickBooks Enterprise 2021, you can edit the template that you are using for the invoice. Tick the check box for print for the item. Let’s create a template and set the Screen and Print only option.

  1. Go to Lists at the top menu bar to select Templates.
  2. This will open a page that shows all custom templates added to QuickBooks.
  3. Scroll down to click the Templates drop-down and pick New.
  4. Pick Invoice in the Select Template Type window and hit OK.
  5. On the Basic Customization screen, tap the Additional Customization.
  6. Then, click the Columns tab to select Item and enter a name that will identify the field box.
  7. Mark the box for Screen and print.
  8. Once done, then hit OK.

For additional resources, check out the Use and customize form templates guide. Aside from adding field boxes, it also contains complete information about the Layout Designer feature.

Please feel free to get in touch with me here for any additional assistance you need with the custom templates. The Community always has your back.

Thank you, however that only gives me the item name.  I need the item full name as our inventory has multiple layers of items and we need to print the entire name on the invoice.  What is occurring currently is the item full name shows on screen but when it prints only the lowest level of the name prints on the invoice.

Thanks for getting back with the Community, Tdelevati.

You can use your Layout Designer to move or resize items on the form.

If you're saying there's a long text field that only shows on your last page of sales forms, here's how to fix it with the Layout Designer:

  1. Open your invoice.
  2. Go to Formatting.
  3. Click Customize Data Layout.
  4. Access the Layout Designer.
  5. Hit Add, then choose Text Box.
  6. Add your necessary details.
  7. Resize the field to show all of the text entered, then press OK.
  8. Use your Print Preview option to see how the text would appear on the form when printed.
  9. Close the Print Preview window and select OK.

I've also included a detailed resource about fixing common issues with templates which may come in handy moving forward: Fix common issues when you use & customize templates
