Invoice missing from 1year ago that was partially paid. Do invoices only hang on for 1 year?

Hello there, @usermfelouzis-hvacre.

QuickBooks will not delete your invoices and other transactions after a year or more.

The reason why an old invoice is missing could be that we need to customize the date of the transaction or this is a browser-related issue.

First, let's utilize the Audit log feature to see and verify if it has been deleted by someone (other user) accidentally. Here's how:

  1. Go to Settings
  2. Select Audit log.
  3. Use the fields on the page to choose the appropriate UserDate, or Events filter to narrow the results.

If that invoice wasn't deleted, follow the steps below.

  1. Log in to your QuickBooks Online account and go to the Sales menu.
  2. Within the All Sales tab.
  3. Click the Filter icon. Then, select Invoices.
  4. Make sure to set the correct date of the old invoices.
  5. Hit Apply.

If it's still not showing, make sure you still have an active subscription and perform the basic troubleshooting steps below.

Use an incognito window. This type of window doesn’t store any cache that causes a browser to load slowly or experiencing unusual behavior.

Here are the shortcut keys you can use depending on the browser:

  • Google Chrome: Ctrl Shift N
  • Mozilla Firefox: Ctrl Shift P
  • Microsoft Edge: Ctrl Shift P
  • Safari: Command Shift N

If it works, go to your regular browser and clear its cache to prevent any unexpected behavior. They can also use other compatible browsers in QBO.

Thanks SarahannC,

It wasn't deleted. I was able to view everything the way you showed me on computer. I mostly use my phone and couldn't find it. NOW I know what to look at periodically.

Thanks so much!

Michael
