Invoiced client for taxable items. Paid inv has wrong tax amt listed. “See the math” shows correct amt, then updates inv + shows balance due. Did the system mis-calc tax?

I want to know how this happened so it can be avoided in future. I now owe my state sales tax that I didn't collect from the client correctly. The system should be auto-calculating this but it appears to have glitched.

QuickBooks automatically calculates the total tax rate for each sale based on your customer's tax-exempt status, where you sell and where you ship, and what you sell. To review the tax amount when creating a transaction, just follow the steps below: 

  1. When creating an invoice or sales receipt, check the total sales tax at the bottom.
  2. Click See the math or the total tax amount. This opens the "Let's calculate your tax rate" page where QuickBooks gives you a detailed breakdown of the sales tax.

 

Here's an article you can refer to for more details about how QuickBooks Online calculates sales tax. If there's a discrepancy on how tax is calculated we'll need to review how you set up sales tax on your account. We can also perform basic troubleshooting to fix this. Let's start with logging into your account through a private browser. When cache piles up, it causes issues that can affect the performance. Using an incognito window doesn’t store any cache files. It's a good step to isolate web issues. These are the shortcut keys:

  • Google Chrome: press Ctrl + Shift + N 
  • Mozilla Firefox: press Ctrl + Shift + P
  • Safari: press Command + Shift + N

 

If data shows correctly using the private browsing session, go back to your regular browser and clear its cache. It helps us refresh the system. If you're still having the same issue, you can use other supported browsers to help us narrow down your concern.

My client's QBO is picking up a sales tax rate that is not the rate that corresponds to the current warehouse address.

The customer has no ship-to address....the "shipping from" address is correct.  Sales tax locale is xyz. When I run the sales tax detail report, it's using sales tax locale abc. I think it's picking up their old address...but it's been 2 years since they moved and all the appropriate places have the XYZ address.

Let's ensure these sales tax rates and information are entered accurately in your customers' profile, dfkirk.

 

You can guide your clients to review their customers ' profiles and make sure their sales tax rates and shipping address details are updated. This way, the information entered from their profiles will automatically update when creating sales transactions. To do this:

 

  1. In your QuickBooks Online account, go to Sales and select Customers.
  2. Select the specific customer and click on the Customer Details tab.
  3. Click on Edit to modify their information.
  4. Enter their current shipping address and select the tax rate dropdown under the Additional info section below Payments.
  5. Update and review all necessary changes.
  6. Once done, click Save.

 

If any unusual behavior persists or changes to these details aren't applied, you may perform some troubleshooting steps to help rectify the possibility of a webpage issue. I suggest going through your QuickBooks Online account in a private browser. You can use these keyboard shortcuts to open one:

 

  • For Google Chrome browser: Ctrl + Shift + N
  • For Mozilla Firefox browser: Ctrl + Shift + P
  • For Safari browser: Command + Shift + N

 

If changes are visible on this end, you may go back to your default browser and clear its cache or use a different supported browser. Then, you can delete the invoices created and recreate them to ensure all information is updated accordingly.

 

Furthermore, you can review and file your sales tax payables to keep you up to date and ensure you can avoid late returns and extra fees. It also includes information on recording these tax payments in your QBO account.
