Is there a way to change the quantity on an invoice linked to an estimate? When converting an estimate to an invoice, I can no longer adjust quantity.

Welcome to the QuickBooks Community, JKO.

Thank you for taking the time seek out our help.

For progress invoicing, you can edit the amount from the due column. This will adjust the quantity of the invoice automatically.

If you wish to edit the quantity, you’ll need to turn off the progress invoicing. Let me show you how:

  1. Select the Gear icon.
  2. Choose Account and Settings.
  3. Select Sales from the left menu.
  4. Choose Progress Invoicing.
  5. In the Progress Invoicing section, select the edit (pencil) icon.
  6. To disable Progress Invoicing, remove the check mark under Create multiple partial invoices from a single estimate box.
  7. Select Save.
  8. Click Done.

Here's an article that provides a detailed steps on how to convert an estimate into an invoice: How to convert an estimate/quote into an invoice.

Keep in touch if you have any other questions about converting estimate to an invoice. I'd be glad to answer them for you.

At the moment, there isn't a way to change the quantity on an invoice that is linked to an estimate. What we can do, is to delete and recreate the transactions and manually reenter the correct quantity.

In the sample co, you CAN change the quantity on an invoice that is linked to an estimate.  When you click Save you get the message: "The transaction you are editing is linked to others. Are you sure you want to modify it?". When you click Yes, it saves

I changed the status of the estimate to pending and then changed quantities.  Then saved it and changed the invoice quantities too. And it worked.

Reviving because I'm running into this issue right now and the suggested solutions aren't working; Turning off progress invoicing in settings doesn't actually allow me to edit the quantities still. When I try to change the status of the estimate to pending, and then change the quantities in the estimate, it doesn't update the invoice to reflect the changes I made to the estimate, nor does it allow me to edit the invoice quantities still (and this is the case with progress invoicing on AND off, tested it with both settings).

I appreciate you sharing more information about your concern, @ellipse.

Turning off the progress invoicing feature will help you change the quantity of an item in your invoice converted from an estimate.

Since it doesn't work, have you tried the suggestion of Malcolm Ziman to change the quantity by clicking Yes on the pop-up message? If you haven't yet, I suggest doing it so.

If you can't still change the quantity, I recommend contacting our Phone Support Team. This way, they can further check on this matter and help you from there. They can also create an investigation ticket if other users experiencing the same.

I have tried to click yes on the "are you sure you want to edit this?" pop-up when editing the estimate, but even though I was able to change the quantity of the estimate, it would not actually change the quantities listed on the invoice.

I managed to work around the issue by creating a new invoice altogether with identical characteristics as the original, except with the updated quantities, and then deleting the original incorrect invoice.

Yes, There are so many things you cannot do in QB.

I hid the quantity column and then just retyped it in my description as well as the individual rate.

I am having the same issue with changing information on the invoice i.e. price, quantity that is created from a linked invoice. How do I allow the invoice to be updated without deleting & re-creating the invoice?

We understand the challenges you're having in changing your invoice information, @Rice professionals.

I'm here to lend a hand  with your invoice concern. I also  want to ask for more details about the issue you encounter .

Did you get any specific error message when editing the invoice? Additional information about this concern will help us look for the right solution in solving the problem.

In the meantime, let’s perform some basic troubleshooting steps to make sure the issue isn’t browser related. It’s possible that local internet cache files are the reason for this unexpected behavior.

Let’s start logging in to QuickBooks using a private window. Here’s how:
•    Command + Shift + N (Safari)
•    Ctrl+ Shift + N (Google Chrome)
•    Ctrl + Shift + P (Mozilla Firefox)

Once done, try to edit  an invoice again. If it works, you need to clear your browser’s cache. Here’s an article to help you with the process: Clear cache and cookies to fix issues when using QuickBooks Online

You can also follow the suggestion of Malcolm Ziman to change the quantity by clicking Yes on the pop-up message. When you try to change the quantity on an invoice that is linked to an estimate. If you haven't yet, I suggest doing it so.

Turning off the progress invoicing feature will also help you change the quantity of an item in your invoice converted from an estimate.

In addition to that is an article that can help you with your transactions in QuickBooks: Customize invoices, estimates, and sales receipts in QuickBooks Online.

I'm just a few clicks away if you have any other questions with your QuickBooks transaction. I'll be delighted to be your guide once again. Have a great day.

Is there a way to change the quantity on an invoice linked to an estimate? When converting an estimate to an invoice, I can no longer adjust quantity.

As we cannot edit the Invoice Qty on a 'progressive invoice' - Is it possible to link multiple Invoices to a single Estimate with the 'progressive invoicing' feature turned off?

Scenario is this:
We create Estimate for 10 units of Bicycles.  We build and deliver 5 units and therefore wish to create an Invoice for these initial 5 units.  After a month, we complete the balance 5 units and wish to create another Invoice for the remaining.  We would like to link both Invoices to the original Estimate.

Please advise if there's a way to do this?

Thanks!

Thanks for reaching out to the Community, GMFROMLA.

I'm here to share more details on how the progress invoice feature works in QuickBooks Online.

Currently, progressive invoicing is the only option for you to link multiple invoices to a single estimate. Turning off the progress invoice feature should allow you to make changes. You'll have to select either by percent or amount in the DUE column to change the quantity. I'll show you how.

  1. Ensure that the progress invoice is turn off.
  2. Go to the Sales menu, then select All Sales.
  3. Locate and open the invoice you want to change.
  4. Choose either by Percent or Amount, then enter the specific percentage or amount in the next box.
  5. Once done, hit Save and close.

If the issue persists, you can run some troubleshooting steps provided by my colleague AbegailS_  above. This way, it helps identify if this is a browser-related issue.  Alternatively, you can delete and recreate the invoice.

I am about to convert my company to QBO from Desktop Enterprise but I cannot do so until there is a way to do Percent, Amount AND Quantity in progress billing. Can you tell me if this will be an option in the near future?
