Is there and easy way to send recurring invoices for a rental, with being able to change only the rental period?

I need to send invoices for a rental battery each month. Is there an easy way to do this without re doing the invoice every month? I only need to change the date of the rental period and date of invoice.

Are you run a rental equipment business? Consider having a renal management app to integrate with your QBO account.

Good morning, @candsbattery! Thank you for reaching out to the Community about your invoices. You can set up recurring invoices in your account. Here's how:

  1. Select + New.
  2. Under Customers, select Invoice.
  3. When that window opens, along the bottom, click on "Make Recurring".
  4. Enter a template name.
  5. From the Type drop-down, choose Scheduled, Unscheduled, or Reminder.
  6. If you would like them to be sent out for you, choose Automatically send emails.
  7. Fill in other invoice information and Save.

The "make recurring" option does not appear in this context.

Thanks for joining this thread, @BrianBeers.

 

Currently, the Make Recurring feature is only available in EssentialsPlus, and Advanced versions of QuickBooks Online (QBO). In case you're using QuickBooks Simple Start, you can upgrade your subscription so you can start creating a recurring invoice.

 

Here's how to upgrade subscription:

 

  1. Click the Gear icon on the top menu.
  2. Select Account & Settings.
  3. Go to the Billing & Subscription tab.
  4. Then, from the QuickBooks section, select Upgrade your plan.
  5. Click Choose plan for the product you want. 
  6. Click Continue.
  7. If prompted, enter your payment information.
  8. Confirm the upgrade and your new billing, then choose Confirm Upgrade.

However, if you're using the supported version and this option isn't available, I'd suggest opening your QBO account using a private window to check if this is a browser issue.

 

Depending on your browser, here's how:

 

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Safari: Command + Shift + N

 

If it works fine, using incognito, you can go back to your regular browser and clear the cache. This will clear the stored data on your platform that may cause some issues in using QuickBooks.

 

You can also use a different browser if the issue persists.

I have the same question, but for a rental property.  The problem with the recurring invoice is that it does not change the service date or desciption.

You can make an invoice template for your recurring transaction. This way, you can set up the scheduled date interval and email it automatically to your customer.

 

Here's how:

 

  1. Go to the Gear ⚙️icon, then choose Recurring Transactions.
  2. Select New.
  3. From the Transaction Type ▼ dropdown, select Invoice.
  4. Click on OK.
  5. Enter a template name, and make sure to select Scheduled from the Type ▼ dropdown.
  6. Put all necessary information.
  7. Set up the Interval for the scheduled date based on when you usually create the invoice (Daily, Weekly, Monthly, Yearly).
  8. Once done, click on Save template.

I had the same question and I *think* I've figured it out. I just started using Quickbooks for our business, so I'm still figuring this all out. We run a snow plowing business that operates for 6 months every year and I want our clients to have the option to pay their entire bill up front or month to month. 

 

I followed the instructions other commenters provided for setting up recurring invoices. Then I proceeded to make a separate line for each month that I'm invoicing for- individually labeled by month.

 

Date provided (I put the month the payment is for here)- Service- Description (I put the month the payment is for here as well) - Quantity (I put 1) - Rate (I put the monthly price here) - the rest will auto populate

 

I think this makes it pretty clear that people have the option to pay monthly or all at once when they receive the invoice. I set it to send out 6 separate invoices- one per month. 


The balance due is reflected on the invoice so, between that and the month to month price breakdown, people can probably figure out that they can pay all at once or monthly. 

 

It's my understanding that you have to select 'use' for each of your recurring invoice templates in order to start sending them. Otherwise they just sit in the template folder. The only way I've found to access the invoice templates is to type "recurring transactions" into the search bar and then click the three dots by each invoice template to select 'use' and telling it to send from there. From then on that invoice will show up on your main invoice list.

I have additional question.

I am renting musical instruments and using EZRentout integration with QBOnline and PayFlow gateway.

I would like to use QBOnline only for many reasons. But, can I invoice and have reoccurring billing every month automatically?

Billing is easy, but how do you get paid automatically?

Allow me to dive into this thread to assist you, Violin.

 

Yes, you’re right that QuickBooks Online (QBO) can invoice and bill your transactions. That way, you can send your customer a list of their order, and at the same time, you can enter your bills and more types of transactions in your QuickBooks Company file.

 

Moreover, if you find these transactions repetitive, you can create recurring templates which are also available in QuickBooks Online: Create recurring transactions in QuickBooks Online.

 

Concerning getting paid automatically, this option is unavailable in QBO. However, you can apply to our merchant services that provide you with the option to automatically get paid. You’ll want to contact them through this article: Contact Payments or Point of Sale Support.

The reason I would like to use App is because they have website build abilities, and I can keep the rental part of the business kind of walled.

Is there any app that would have a proper mapping to my chart of accounts? Not just one or two like EZRentout.
