Is there a way to enter a contract with the total amount and then bill from that contract?

I work for a company that has a base contract amount and we want to bill from that contract and add change orders as needed.  How can I do that or do I need a new QB module to do this?

It's called Progress Invoicing.  You first create an estimate, then bill from it.  F1 in QB to open Help, search for Progress Invoicing for details.  (Be sure to turn it on in Preferences > Jobs & Estimates > Company Preferences.)

Under Quickbooks 2016 Preferences, there is no Jobs & Estimates preference to turn on.  Please see the attached screen shot and advise.  Thank you, Scott

The Progress Invoicing window for QuickBooks for Mac is found in Sales & Invoicing.

  1. Open your QuickBooks for Mac again.
  2. Go to Preferences.
  3. Click on Sales & Invoicing.
  4. Check in the box to the left of Customer and/or job estimates are prepared, and I want to create progress invoices from estimates.
  5. Close the window.

Is there a way to then generate a report for total contract value of all projects, what was billed and what is remaining to be billed?

If you're using QuickBooks Desktop (QBDT) and trying to generate a report that's showing up the billed and unbilled transactions, you can open the Unbilled Costs by Job report and customize the Billing Status to Any. This will show you Unbilled transactions, Billed, and Not Billable.

 

Here's how:

 

  1. From the Reports menu, select Jobs, Time & Mileage.
  2. Click on Unbilled Costs by Job.
  3. Go to the Customize Report button.
  4. Tap on Filters, then search for Billing Status.
  5. Choose Any.
  6. Hit OK.

 

If you wish to, you can sort the report by Billing Status. This can be done by clicking on the drop-down arrow beside the Sort by section.

Thank you! How can I filter an eliminate all of the payroll, travel expenses, etc and just show unbilled estimates? Basically my design fees/proposals. which really are not even showing up in this report, all I see is expenses generate on the project.

You can view the unbilled estimates from the Income Tracker page instead of running and customizing a report. I'd be happy to walk you through the steps.

 

The Income Tracker page will show you the unbilled estimates, unpaid, and overdue invoices. Here's how:

 

  1. In your QuickBooks Desktop, click the Income Tracker from the left panel.
  2. In the Income Tracker window, select the Unbilled colored bar to view the unbilled estimates.
