Multiple serial numbers per item

I am going to start ordering Kits, which have multiple items and multiple serial numbers.  What is the best way to track and account for the multiple serial numbers?

I would create each item as a bundle.  From the Sales menu on the side choose 'Products and Services' and then hit the 'New' button and choose Bundle.  You can list each item and serial number in the lines provided and name each bundle accordingly - perhaps matching the name of each kit.  I hope that helps!!!

There are a lot of available reports in QuickBooks but the one which suits the information you need is Serial Numbers in Stock


Here's how to pull up and customize the report: 

  1. Click Reports.
  2. Choose Inventory.
  3. Select Serial Numbers in Stock.

Is there a short cut to entering multiple serial numbers for items received in large quantities?

IE: i receive 100 items that require serial numbers. Do i have to manually type in each of those serial numbers?

Yes, you'll have to manually enter a serial number for your items, h_deister,


Aside from typing in the information, you can paste serial numbers from Excel or a comma-separated values (CSV). This will help you save time.


Here's a sample CSV file you can follow:

  1. Copy the serial numbers from your .csv file.
  2. In the Item field, enter the item name, or select the small arrow ▼ icon and select it from the list.
  3. Select the Add Serial Numbers column.
  4. Select the small arrow ▼ icon and select Quick View for Serial Numbers.
  5. Paste the serial numbers directly into the Serial Numbers field.
  6. Repeat as required, then select Save & Close.
