Projects - Tracking Bills

Hi,

I've created a project and it is not tracking all of the bills that I'm entering.  Each bill is entered noting the project name.  Most of the bills I've entered show in the Project Profitability Report (Accrual), but not all.  I double-checked that the project name was chosen when entering the bills but they don't show.  Have a lot of grief with Projects which I had to upgrade and incur additional expense to use.  

So to recap:  I enter bills noting the project they should be charged to and all bills do not show up in project reports.  Any help would be appreciated.

Sometimes local internet cache files stored in the system can cause unexpected behavior in the product, @Lynn918.

We can perform some basic troubleshooting steps to fix this issue. This way, we can make that you're able to track all the bills that you've entered in QuickBooks.

 

Let's start by accessing your account through a private window. This a special mode where the browser doesn't record the browsing activity on the local device. You can access this by pressing these following shortcut keys:
 

  • Ctrl + Shift + N (Google Chrome).
  • Ctrl + Shift + P (Firefox ).
  • Control + Option + P (Safari).

 

Once done, go back to the Project Profitability Report and check if all the bills are now showing. If it works, we can go back to your regular browser and clear its cache. If not, we can use a different supported browser instead. This might be a temporary issue with QuickBooks and the current browser that you use.


In addition, I've listed a guide on how you can track project costs and profits to make sure what you’re seeing is always accurate:
 

  • The Transaction tab lists all transactions tagged to a project. You can complete tasks directly from this screen, such as converting an estimate to an invoice.
  • The Time Activity tab breaks down your team’s work by date. It also provides the total cost of each employee and service you offer.
  • Use the income and cost columns in the Overview tab as guides. Make sure the correct column total increases when you add invoices, expenses, and weekly timesheets. If you’re using payroll, timesheets won’t increase your costs in the Overview column. You can see these costs on the Time Activity tab or your Time cost by employee or vendor report.
  • Review your Time cost by employee or vendor reports every month. Make sure you’ve correctly tagged all project-related work hours. If you’re missing hours or counting too many, your profit totals will be inaccurate.

This behavior when a transaction isn't showing on some areas in QuickBooks Online usually because of the browser error. You'll want to open and review the bills you entered and make sure the project is selected.

 

In addition, I suggest you contacting our Support Team if this issue persists. You can follow these steps:

  1. Click the (?) Help icon and enter Talk to a human (then type it again when prompted).
  2. When asked by the bot, enter "Bill".
  3. Select I still need a human, then proceed with Contact us or Get help from a human.
  4. Choose either Chat or Callback.

My projects are not popping up (in the dropdown for customers) when I enter a bill!  Help!

Thanks for becoming part of the Community, lp571.

 

I've reviewed our ongoing/solved investigations and can confirm there's currently no records of subscribers reporting that they're not seeing their projects for customers when entering bills.

 

I tested this myself in our test drive account and was able to see each of my projects under their associated customers.

 

Since you're not seeing your projects in the Customer / Project drop-down list when entering bills, I'd initially recommend making sure your projects feature is turned on.

 

Here's how:

  1. Use the Gear () icon and go to Account and settings.
  2. Access your Advanced tab.
  3. Find the Projects section and click its Pencil () icon.
  4. Confirm your Organize all job-related activity in one place option is turned on.
  5. If any changes were made, select Save, then Done.

 

In the event you're still not seeing projects displayed in your Customer / Project drop-down list when entering bills, you'll want to check the browser. It's possible this could have something to do with temporary internet files. Browsing applications store these types of records, but sometimes they can cause issues with certain webpages. You can open a private window and check to see if projects are displaying when entering bills.

 

Here's how to access incognito mode in some of the most commonly used web browsers:

  • Google Chrome: Ctrl Shift N
  • Mozilla Firefox: Ctrl Shift P
  • Microsoft Edge: Ctrl Shift P
  • Safari: Command Option P

 

If you're able to see your projects while browsing privately, it's safe to say this problem's being caused by the browser. It can be fixed by clearing cached data and Intuit-specific cookies.

 

In the event it continues occurring while you're browsing in incognito mode, you'll initially want to try switching to another browsing application.

 

Here's a list of supported browsers

  • Google Chrome - version 78 or newer
  • Mozilla Firefox - version 76 or newer
  • Microsoft Edge - version 75 or newer
  • Opera - version 68 or newer
  • Samsung - version 10 or newer
  • Safari - version 12 or newer

 

You can also check a browser's compatibility with QuickBooks by utilizing our browser health checkup tool. QuickBooks supports the current and two previous versions of browsers. If you find that you're using an unsupported version, make sure to update it to its latest release. Steps for doing so can be found on the particular company's website.

 

In the event you've found no problems that could be causing this with your browser, I'd recommend using a different device and/or internet connection. If it continues happening on other devices and/or internet connections, I'd recommend getting in touch with our Customer Care team. They'll be able to pull up the account in a secure environment, conduct further research, and create an investigation ticket if necessary.

  1. Use the Help (?) icon.
  2. Click Contact Us.
  3. Enter a description of your situation in the What can we help you with? field, then hit Let's talk.
  4. Select Start messaging or Get a call.
