Purchase Order reports

I have a report found in shared reports that works great for what I need but the only ones who can see it must have access to all areas of QB. I have tried removing the cost of the items but still the PM's can't  see the report. I have attached a snippet of the report.

Does anyone have a suggestion on how to make this available to those with limited access or recommend a different report.

Purchase Order reports

I appreciate the screenshot, Pam. I can help share insights regarding user permissions in QuickBooks Desktop.

QuickBooks Desktop allows you to add users who can help you with your company's bookkeeping. Each user has permission to determine what they can and can't do. That said, the only area of access you give to that user is the one they can see regardless of what type of report that could be.

Here's a detailed guide on how you can modify and troubleshoot user login and restrictions: QuickBooks Desktop Users and Restrictions.

Purchase Order reports

This solution doesn't help me. I am in need a report that someone without financial permission is able to see.

Purchase Order reports

Thanks for coming back on this thread, @Pam.

This is not the experience I want you to undergo. I'm here to help with your shared reports on the QuickBooks Desktop.

Since the Purchase Order report is a shared one, then I'd recommend setting the PM's role to full access. This way, they'll have the option to review the data.

Here's how:

  1. Go to the Company menu.
  2. Select Users and click Set Up Users and Roles.
  3. Choose a role from the list ad click Edit
  4. Click Reports and thick the Full option.
  5. Tap OK to save the changes.

You can also read through this article for more information about managing your users access effectively in QBDT: Create and manage roles in QuickBooks Desktop Enterprise

I'd also encourage you to visit this page about how to resolve possible issues with memorizing reports and other related topics: Create, access, and modify memorized reports.

Let me know if you have further questions about shared data. I'm willing to help. Keep safe.
