QB duplicating my accounts

Good evening,

I seem to have QB duplicating some of the accounts present in my Chart of Accounts.

I've attached a screen shot of what is happening.

Basically the accounts you see that have a parenthesis are all duplicate accounts.

The original ones have the same number, type, detail type and name expect for the (####) part.

e.g. my original account is 611200 Corporate and I now also have a 611200 Coporate (4429).

Does anyone have any idea of what is happening ? I haven't asked QB to duplicate in any way.

I've got you covered in handling the duplicate accounts in your Chart of Accounts (COA) list.

 

First, you can run the Audit Log to know if someone created the said accounts. 

 

Here's how to do it:

 

  1. Click the Gear icon, and then choose Audit Log.
  2. Select the Filter drop-down, and choose the All Users and the desired date.
  3. Tick the Show only these events radio button under Events.
  4. Select the Lists option. 
  5. Choose All Transactions from the Show drop-down.
  6. Click Apply.
  7. You can click View in the History column to open the audit history. This way, you'll know who made the change and what they did.

 

If no one made changes to your COA list, then this is likely a browser-related issue. To fix this, you can use a private browser (incognito) when opening QuickBooks. This session disables the corrupted cache in your browser and prevents unexpected QuickBooks Online behavior. 

 

Based on your screenshot, I can see that you're using a Safari browser. Thus, you can press Command + Shift + N on your keyboard to pull up a private window.

 

After that, sign in to QuickBooks and review your COA list again. If can now able to see the right accounts, you can clear your regular browser's cache. This process helps delete corrupted files so the system can start a clean slate.

 

If the issue persists, you can use another device or supported web engine instead. Another option is to utilize the browser health checkup tool to see if your browser is compatible.

 

The good thing is, you can run an Account QuickReport to review your account's transactions. To do that, go to the Accounting menu, and then click Run report.

This isn't an acceptable solution: using a private browser. this happens to me all the time.

Since the issue still exists even after using a private browser, I suggest using other supported browsers.

 

In addition, the chart of accounts contains default accounts that cannot be modified or deleted. To learn which default or special accounts in QuickBooks Online can be removed, edited, or merged, please read this article: Manage default and special accounts in your QuickBooks Online chart of accounts.

 

Once done, you can merge them to move all the data into the one you want to keep and removes the duplicate. Here's how:

 

  1. Go to the Chart of Accounts.
  2. Find the duplicate account that you want to remove.
  3. Select the dropdown ▼ in the Action column and then click Edit.
  4. To ensure that the duplicate account's information exactly matches the account you want to keep, change the Account name and Tax form section.
  5. Select Save, then click Yes, merge accounts.

QB duplicating my accounts

I have the same issue. QBO continues to create duplicate accounts and I have to manually merge dozens of accounts each year. I'd like to know when this issue will be fixed. I am the sole user of our account and the audit log proves that it was the "System Administration" that created the duplicates. See attached.

QB duplicating my accounts

Unfortunately, the care team was not able to locate the cause or come up with a solution the last time I reached out to them regarding this issue.

 

I have lost faith in the care teams ability to solve most of the glitches I face with QBO. I can't tell you how many times I found my own workaround when support couldn't help me.
