This is a question about reconciling credit cards.

I encountered a glitch in Quickbooks 2021 Desktop for Mac when reconciling my credit card statements. When I reach the reconciliation page I see the Beginning and Ending Balances. But the "Cleared Balance" figure, which I believe should be zero, is the same as the Beginning balance. The result is that it is impossible to reconcile.

How do I solve this problem?

Let's resolve the problem you're having when reconciling your credit card accounts, @intreptrav.

 

Your beginning balance will be incorrect if a previously cleared transaction in your register was voided, deleted, or changed, or a new transaction was added and cleared since your last reconciliation.

 

You can resolve this by running a report to trace the discrepancy. A Reconciliation Discrepancy Report can show reconciled transactions that were modified, deleted, or voided. The Previous Reconciliation Detail reports can check and compare balances and determine the last correct reconciled transaction. Just go to your Banking menu to find these reports.

 

Another report that can help you look for recent transactions that may have been cleared or uncleared unintentionally is the Bank Account QuickReport. You can have this by going to the Lists menu and then Chart of Accounts.

This was somewhat helpful. At least now I know these reports exist. :-)

The Reconciliation Discrepancy Report for the three months in question (it's a new credit card) showed 0.00 in the "Effect of change" column for all three reconciliations. So that doesn't explain the wonky amount in the Cleared balance field.

I couldn't figure out how the Bank Account Quick Report would spot any problem. It looked okay to me, but I had no guidance on how to interpret it.

The Previous reconciliation reports look like they may be more helpful, although I am still struggling to interpret them. The "cleared balance" lines are way out of whack, but why that is the case eludes me.

I am thinking of undoing the last reconciliation to see what that does, if anything.

I decided to simply undo the three reconciliations I'd done and start afresh. The first month (the month I started using this new card) went well. The beginning balance was zero and the ending balance $999.43. It reconciled perfectly.

However when I tried to reconcile the next month, the sum of $999.43 showed up in the Cleared Balance field. I thought that maybe if I checked off the $999.43 payment for the previous month, that would reset the Cleared Balance to zero, but it merely added another $999.43.

What's going wrong?

I'm still awaiting a solution to this problem. I was wondering if this is a bug that has been fixed in a later release of Quickbooks 2021 than the one I have, but I checked for Quickbook Updates and apparently what I have -- Version 20.0.3 R4, Build 842 -- is the latest

Any assistance will be much appreciated.

I checked and I can't see that we have an alert about incorrect balances when reconciling accounts in QuickBooks for Mac. A possible data damage might have also caused the issue. I'll share some steps with you that can resolve common data issues in the program. 

 

Here's how:

 

  1. Go to the File menu, then select Utilities.
  2. Select Verify Data, then click OK to close all windows. If you see “Your data has failed the integrity check” you need to rebuild your file.

 

Once you’ve verified your data, proceed to rebuilding your company file to fix any errors or data damage that's found. Here's how:

 

  1. Go back to the File menu, then select Utilities.
  2. Click Rebuild Data, then select OK to close all windows.
  3. QuickBooks will ask to make a backup before rebuilding your company file, select OK. If you don’t want to do a backup, select Cancel to continue rebuilding your company file.
    1. If you haven’t set up any backup preferences, QuickBooks will ask you to update them. Select Backup Preferences and edit as needed, then select OK.
    2. When the backup's finished, select Show in Finder to locate the backup or select OK if you’re done.
  4. Click OK.

 

I would also recommend reaching out to Chat Support Team just in case the amount is still incorrect. They can take a closer look at this to determine what's causing the issue. Here's how:

Well, I had high hopes for this. When I used the Rebuild Data utility it found some errors (what they were, I have no idea) and the utility seemed to fix them.

 

But when I tried reconciling again, the same old problem persisted: i.e. the Cleared Balance showed the balance from the last reconciliation.

 

Before I try the "chat" link you provided, what if I tried re-installing the software? How would I do that (assuming it's advisable)?

 

I had another idea. Since I've encountered a major problem (which will be a major hassle to solve),  and since my business is closed and I no longer need all the bells and whistles of Quickbooks, and since my account list is filled with obsolete bank accounts, credit cards, etc, and since it's still early in the year, ... what if I got a simpler financial program (Quicken?) and started afresh from Jan 1, 2021?

Welcome back to QuickBooks Community, intreptrav. I also appreciate you for performing the steps shared above to fix your issue and for providing detailed information about your concern.

 

Since running the Verify and Rebuild utility tools doesn't permanently fix the issue, you can uninstall QuickBooks Mac Desktop. This way, you'll have the option to re-download the software and reinstall it. Before you uninstall QuickBooks Desktop, have your QuickBooks Desktop download file (or installation CD) and license numbers ready.

 

Here's how to uninstall:

 

  1. Close QuickBooks.
  2. Go to the Finder menu and select Applications.
  3. Pull the QuickBooks icon to the Trash.

 

Once done, redownload the software and reinstall QuickBooks Desktop Mac. To see the detailed steps on how to perform the process, you can refer to this article: Install and set up QuickBooks Desktop for Mac.

 

On the other hand, if the features in Quicken will work for you, starting fresh from Jan 2021 with this software is possible. You'll have to subscribe to this software.

I put this off for fear of completely screwing things up, but today I bit the bullet and uninstalled and reinstalled QB for Mac 2021.

It seemed to go well, but the problem persists -- before I've begun claring anything the Cleared Balance, which should read zero, shows the balance from the last reconciliation.

I'm at a dead end.

A few years ago, I had a problem with things going screwy and I paid a hweftyy sum to connect with some genius in India who fixed things. Does this service still exist?

I read all the responses and all the possible steps have already been shared to resolve the issue. I'd suggest reaching out to our QuickBooks Support Team for further investigation.

 

Here's how:

 

  1. Go to this link: https://help.quickbooks.intuit.com/en_US/contact.
  2. Select QuickBooks Mac Desktop.
  3. Choose Seach for something else.
  4. Enter your concern in the Ask us anything, then click Search.
  5. Click on Start a message

I dreaded doing this because I was afraid it would be a nightmare, but I decided today to take a deep breath and try it. Guess what? I was absolutely right. The Quickbook system doesn't give me enough letters to say much of anything, let alone describe a problem. I sent a message. We'll see if anything happens.

I already replied, but I don't see it. Another Qucikbooks glitch I suppose.

To repeat, I tried your suggestion but your online system doesn't provide enough room to explain the problem. There was an option send a brief message, which I did.

I am beginning to wonder what';s the pojnt of persisting with QB.

You said "You'll want to enter a brief discussion of your concern or the keyword of the issue, then process with Let's talk." But you didn't tell me WHERE to do this. That would have been helpful.

So I tried clicking on the link "to connect with our Live agent directly". Of course, I did not get to connect with a Live agent directly. Instead I got to a page that asked "What can we help you with?" The field in which to "Tell us more about your question" only lets me enter 168 characters (yes I counted). This is NOT sufficient to explain my problem.

Then I clicked on the "Contact QuickBooks Desktop support." link. AHA. This looks like what I've been trying to get you good people to tell me all along -- how to pay for expert support. I assume I'll need to pay $300 for "Intuit Care Protection plan for Mac annual". Is this correct? I'll call support when I have a bit more time.

Just for fun, I clicked on Reconcile bank and credit card accounts (Mac). Nothing there I didn't know already. I was amused to note that the sections shown in the screen shots were labeled A, B, C, D etc. but the explanation below used 1, 2, 3 and so forth. Does anyone review your support pages in the interest of user-friendly design? I assume #9 refers to the field that has gone wonky in my software, but the explication didn't help me with my issue.

I have been putting off trying to deal with this because I knew it would be super painful. Well today I took a deep breath and decided to try again and boy was I ever right.

My brilliant idea was to PAY for support so I could get some genius to screen share with my computer and fix the problem.

QB is obviously so friggin' rich it doesn't need any more money. So they funneled me into online chat which was a total waste of time. They dumped the chat claiming they hadn't heard anything from me when they had. I started a new chat and couldn't even get "Lourena" to interact with me.

Now I'm not sure what to do. Maybe I can keep entering info and forget about ever reconciling again? I looked into alternatives to QB, figuring I could start afresh from Jan 1, 2021, but I failed to find anything that looked like it would be worth the hassle. All software companies these days seem to want the easy sales figuring that anyone who has a pre-sale question is worth losing.
