Reporting Across All Companies

Hello, we manage the books for 70+ companies on QB Desktop and receive quite a few invoices. I would like to input the invoices as they roll in, however, it may be a week or two before it's time to pay them. 

 

My question: is there a report that will go across all companies to search for unpaid bills? Otherwise we would have to go into each of the 70 books to see if there are any unpaids. 

 

Any help or workarounds or other advice is greatly appreciated!

Combing reports to search unpaid bills across all companies would save us a lot of time. However, the option to do this is unavailable in QuickBooks Desktop.

 

As a way around, you might want to look for a third-party application that can work and integrate with QuickBooks or manually export reports from each file, and combine them using Excel.

 

Here's how:

 

  1. Click Reports at the top menu bar and choose Vendors & Payables.
  2. Select Unpaid Bills Detail.

  3. On the report screen, click the Excel drop-down and choose to Create New Worksheet.

  4. Hit Save.

I've got you, @Lissa8. I'll be glad to guide you through the process of combining reports across companies in QuickBooks Desktop (QBDT).

 

Please know that this feature is exclusive to QBDT Enterprise subscribers. Additionally, this is the list of reports that you can combine across companies:

 

  • Balance Sheet Standard.
  • Balance Sheet Summary.
  • Profit & Loss Standard.
  • Profit & Loss by Class.
  • Statement of Cash Flows.
  • Trial Balance.

 

Here's how you can combine reports:

 

  1. Go to the Reports menu and select Combine Reports from Multiple Companies.
  2. Pick Add Files, look for the other company file, and choose Open. Repeat for additional files.
  3. Beneath Select reports for combining, pick the report you want to combine.
  4. Select the range of the report in the From and To fields, then choose a report basis.
  5. Click Combine Reports in Excel. Then, a Microsoft Excel spreadsheet will be generated with the combined information.

 

If you have the QBDT Pro or Premier subscription, you can consider upgrading your plan.

 

If not, you can manually export reports from each file and combine them using Microsoft Excel. Feel free to locate the process in this article and go to Option 2 section: Combine reports from multiple company files.
