Sub Product/Service

Sub-product/service isn't showing up in the account. I really need to add sub-product/service as it's very essential to setup the account. Sincerely appreciate your help

Sub Product/Service

I appreciate your time getting back here, Nazmul.

 

To map the sub-product/service, you will need to open the item and choose the account where you want to assign them from the Income account drop-down.

 

Here's how:

 

  1. Go to the Gear > Products and services.
  2. Click the Edit link of the sub-product and select the account from the Income account drop-down menu. Make sure to put a check mark on the Is sub-product/service box.
  3. Hit Save and close.

Here's a sample screenshot for a visual guide:

 

 

When you create an invoice then selected the sub-product/service from Product/Service column, you will also see the parent product's name. Here's a sample screenshot to see what it looks like:

To run a report, you can use the Sales by Product/Service Detail by following these steps:

 

  1. On the left panel, click Reports.
  2. Type Sales by Product/Service Detail in the search box.
  3. Select the Report period, and click Run report.

Sub Product/Service

We have two ways to add a sub-product or service in QuickBooks Online, Nazmul.

 

First, we can use categories to group your products or services of the same type. I'll guide you how.

 

  1. Go to the Sales menu and then select Products and Services.
  2. Select the More drop-down menu, then choose Manage categories.
  3. Click New category to enter the name of the category.
  4. Select Save.

 

Then, let's assign your items to the category. Here's how:

  1. On the Products and Services window, select New.
  2. Select the item type.
  3. Type in the name of your item in the Name field. 
  4. On the Category field, click the drop-down menu and then select the category.
  5. Enter the other necessary details, then click Save and close.

 

Aside from using category, we can also create a sub-account in the Chart of Accounts then assign it to the items. Let me guide you through the process.

 

  1. From the Accounting menu, select Chart of Accounts.
  2. Click New.
  3. Select the correct account type and detail type. 
  4. Place a checkmark in the Is sub-account checkbox and then select the parent account.
  5. Give your new subaccount a name.
  6. Once finished, click on Save and Close.

 

After that, let's add the sub-account to your item. Here's how:

  1. Go to the Sales menu and then select Products and Services.
  2. Select New, then choose the item type.
  3. Type in the name of your item in the Name field.
  4. Enter the other necessary details.
  5. On the Income account field, select the sub-account.
  6. Select Save and close.

 

Additionally, you can track your products and services from time to time using our reports in QuickBooks. To get started, go to Reports, then select Standard. From there, I encourage you to check out this article that will serve as your guide: Use Reports To See Your Sales and Inventory Status.

Sub Product/Service

Thank you for your reply. I tried the first solution to create sub-category but it doesn't quite address my need. I needed to map the sub-product under the actual product/service. And also needed to able to select them in the product/service section of the invoice and similarly they'll appear in the reports under each product/service.

Hello there, Nazmul.

 

The Is sub-product/service option is only available in the old QuickBooks Online interface. This was shared on RenjolynC's response. With the new QuickBooks Online interface, we use categories or sub-accounts to manage the sub-products/services. Either of those options have the same functions. 

 

The steps to manage the categories were already provided on CharleneMae_F's response.

 

If you have the Is sub-product/service option, you can follow RenjolynC's response. Otherwise, we'll have to go with CharleneMae_F's.

Nazmul, mine isn't working either. Engineers have been working on my ticket for a week now with not one single piece of feedback. I can not duplicate a product or change a price or enter two products in a row. The drop down box is checked BUT there is NO data in the drop down menu and it will not let you save without something in that box. Extremely frustrating as I can't do my job. I hate to say it, but I'm glad somebody else is experiencing the same issue as maybe they'll work quicker at a resolve. My only work around is having to refresh my screen after every single entry and then start again, so time consuming and when you have alot of things to enter it's ridiculous!

Does this mean that if I had been using the Parent Product/Service instead of categories for years, in order to edit a subservice I have to reconfigure with categories?

If you only want to edit the sub-service details such as account, you can update or change the information without touching the categories you've entered in the previous years. Here's how:

 

  1. Within the Product and Service, click the service you want to edit.
  2. Change the details that are needed to be corrected. If you want, you can double-check the Category field if it's recorded to the correct parent service.
  3. Then, Save and Close.

On the other hand, if you want to change the parent item/service of the sub-service or edit the sub-service, you can utilize the Manage categories feature. From there, you can edit the category's name and sub-category.

Sub Product/Service

Doesn't work.  I go in and make a price change and it insists on a parent service. I have to have a parent because I have a lot of the same services for each parent.  QB Online won't let me save it even when I unclick the box for the parent.  

 

I tried clearing my browsing history - didn't work.  Now QB is actually slower than it was before and I still can't edit a subproduct.

Let me provide one more step so you save the parent service of the item you're working with.

 

You can start by using other supported browsers to have the most secure experience. From there, you can manage the category the item. 

 

If the same issue persists, I recommend contacting our QuickBooks Online Live Support Team. They can create a case and forward it to our Product Team for further investigation.

 

Here's how to get in touch with them:

  1. Select Help (?) at the top right.
  2. Enter your concern, then select Let's talk.
  3. Select Contact Us to connect with a live support agent.
  4. Choose a way to connect with us:
    • Start a chat with a support expert.
    • Get a callback from the next available expert.

Is it possible to get a step by step on how to set up products and sub-products from the start?  These conversations seem to be cyclical and starting in the middle making assumptions that we are all experiencing the same exact issue.

Adding sub-products/services is no longer a feature in QuickBooks Online.

 

On the other hand, I see that the previous responses talked about the Category feature. Please know that this is not a replacement for the sub-products/service feature before. Its use is for assigning categories to items for report purposes.

Can the "Is sub-product/service" feature be used to merge products/services on a customer invoice?  We recently started utilizing the Item Details section of Bills to add billable expenses to customer invoices, but we've found that when we pull the billable expenses over to the customer's invoice the same product/service shows up multiple times if it was purchased from vendors multiple times and we're hoping there's a way to "merge" them into one.  So, when we buy item ABC from XYZ three different times we would like for it to only appear on the invoice once with quantity 3.
