Unpaid invoices appear in Sales Account and Income Account?

Hello, I have 5 unpaid invoices.  My questions are with regard to the Profit & Loss Report and the account location of these unpaid invoices.

4 of the 5 unpaid invoices appear in the row (line) called "Sales" (or the Sales Account) rather than the actual income account line that applies to the product/service.  1 of the 5 unpaid invoices appears in the actual income account line that applies to the product/service and not in the Sales Account line.

I can't figure out or understand why the difference.  I have seen research stating that the "Sales Account" appears to be the correct location until the invoice is paid.  If this is the case, then why is 1 of the 5 unpaid invoices handled differently and not showing in the Sales Account?

Thanks for your help.  It is greatly appreciated.

Hi there, @worldtrav9.

 

Let me share insights on how products and services accounts are allocated in the Profit and loss report. 

 

Once you create an item, you'll have to select an income account. This will be the one you use to track sales and what reflects on your P&L report.

 

You'll have the option to use an income account QuickBooks already set up for you. Or else, add a new one to your Chart of Accounts

 

Depending on your accounting method (cash or accrual), the totals in the P&L report may vary. Also, not all products and services will appear on sales accounts even if the transaction is already paid. This will always depend on the income account that you used during the setup.

 

Here's how to check the type of income account you used for each item:

 

  1. Go to Sales and select Product and services.
  2. Look for the item you want to check, then click Edit.
  3. From the Product/Service information window, you'll see the Income account used for the item.

Thank you for your quick reply.
This applies to the P/L Report.
The product/service setup shows the correct income account applicable for the product/service (not sales account). I use an accrual basis.  All the 5 invoices are unpaid. 1 of the 5 appears in the correct income account setup for that product/service and not in the Sales Account.  However, the remaining 4 unpaid invoices are appearing in the Sales Account and not the correct income account that was set up for that product/service.  I would think all 5 unpaid invoices would be reflected in the same manner.

Following the steps provided by my colleague above should resolve the incorrect posting of unpaid invoices in QuickBooks Online (QBO).

 

Moreover, I want to ensure that we’re working on the same page to get this sorted out and get you back to business in no time. That said, I’d like to ask for some snapshots of how the product and services are set up and the transaction journal of every transaction.

 

Here’s how you can check the transaction journal:

 

  1. Go to the Sales menu and select the All Sales tab.
  2. Find and click the transaction.
  3. At the bottom of the page, click More.
  4. Select Transaction Journal.

 

I’ll wait for your response to ensure that everything is corrected. Have a good one!

Thank you for your note.  I could not follow your steps noted above.  The step to  - at bottom of page, click "more" - does not exist in my QBO.  However, I have attached 7 PDF files that are screen prints of the following pages of information, which I hope will help you:
1) The Transaction List that shows the 6 (I thought it was a total of 5, my apology) invoices, of which the first invoice for $10,000 appears in the Income Account (4010) associated with that Product/Service.  The second invoice for $2869.92 appears in the Sales Account (4300) rather than the Income Account associated with that Product Service. This also occurs (where it appears in Sales Account (4300) for not only the second invoice, but for the second through sixth invoice. 

 

2)  Invoice #555 for $10,000 info --- Invoice details --- Product/Service Information -- Product/Service Quick Report.  This is the one that appears on the P/L report in the Income Account 4010 affixed to that Product/Service.  This is the only one of the 6 transactions where this occurred.  The remaining 5 transactions all are shown in the Sales Account 4300. 

 

3)  Invoice #554 for $2869.92 info -- Invoice details -- Product/Service Information - Product/Service Quick Report.  This is the transaction that shows in the Sales Account 4300.  The same situation occurs or the remaining 5 transactions.

4)  The only difference between these transactions is --- The $10,000 invoice is Open and the remaining are Overdue.  Does that have anything to do with this situation?

Thanks for all of your help.  This is a time sensitive situation.  Your help is greatly appreciated.  I hope all 7 attachments are in fact included.

Here is an additional piece of information.  I realize that there are 6 unpaid invoices.  2 of the 6 unpaid invoices are appearing correctly in their income account.  This applies for Invoice # 555 and Invoice #550.  The other 4 unpaid invoices all appear in the 4300 Sales Account.  This applies to Invoices 554, 552, 551 and 553  I have assigned the correct income account for all of these products/services.

Thank you for sharing the PDF files to ensure the details of your goal are presented accurately. I'll make sure you're able to get the best help available to get this matter resolved timely.

 

Upon further research, open vs overdue invoices will show up in a report depending on the manner of details it has been customized. Income and sales account has the same detail type which is generally your income so nothing to worry about.

 

Since the transaction detail of all your invoices doesn't display the account correctly, I recommend contacting our Customer Care Support. You can work with one of our specialists using tools, like screen sharing, to investigate the setup of your account and understand it. To do so:

 

  1. Go to Help.
  2. Select Search.
  3. Click Contact Us.
  4. Enter a few words describing the display of accounts your invoices used in the What can we help you with? text area.
  5. Select Continue.
  6. Click Start a chat or Have us call you to connect with our team online.

Thanks for your latest note.  I have to wait another hour until live help is available.  In the meantime, I thought you might be able to continue helping.  I sent 7 attachments individually.  Did you look at all 7 attachments?  You will find lots of details regarding 2 of the invoices including the Product/Service Information which clearly shows the Income Account correctly filled and Product Service QuickReport and Invoice Detail report. Since some invoices aren't displaying properly with the account(s) you've assigned to them, I'd recommend checking your browser. It's possible this could have something to do with temporary internet files. Browsing applications store these types of records, but sometimes they can cause issues with certain webpages. You can open a private window and check to see if they're displayed properly.

 

Here's how to access incognito mode in some of the most commonly used web browsers:

  • Google Chrome: Ctrl Shift N
  • Mozilla Firefox: Ctrl Shift P
  • Microsoft Edge: Ctrl Shift P
  • Safari: Command Option P

 

If they display correctly while browsing privately, it's safe to say this problem's being caused by the browser. It can be fixed by clearing cached data and Intuit-specific cookies.

 

In the event they continue showing incorrect information while browsing in incognito mode, you'll initially want to try switching to another browsing application.

 

Here's a list of supported browsers:

  • Google Chrome - version 78 or newer
  • Mozilla Firefox - version 76 or newer
  • Microsoft Edge - version 75 or newer
  • Samsung - version 10 or newer
  • Opera - version 68 or newer
  • Safari - version 12 or newer (Mac only)

 

You can also check a browser's compatibility with QuickBooks by utilizing our browser health checkup tool. QuickBooks supports the current and two previous versions of browsers. If you find you're using an unsupported version, make sure to update it to its latest release. Steps for doing so can be found on the particular company's website.

 

In the event you've found no problems that could be causing this with your browser, I'd recommend using a different device and/or internet connection. If it continues happening on other devices and/or internet connections, you'll want to get in touch with our Customer Care team. Detailed steps for contacting them can be found in JonpriL's post.

 

They'll be able to pull up the account in a secure environment, conduct further research, and create an investigation ticket if necessary. Be sure to review their support hours so you'll know when agents are available.
