We are a 501(c)3 that recieves 80% of our income through invoiced services. How can we change email subject lines, and QBO backend to say invoice?

We are not asking how to design an invoice. We know how to do that. The problem is that everything else says pledge which is confusing to customers. And we have found that QBO is forcing our email subject lines to say Pledge instead of invoice. If the subject line says invoice, it will not include an actual invoice number, just the merge field title.

It will automatically say Pledge once your account is set to Non Profit, userqb.

 

However, you can edit the Subject line of the emailed transaction so you can indicate that it's an invoice instead of a pledge. Here's how:

 

  1. Go to Gear icon and select Account and Settings.
  2. Proceed to the Sales tab and click Messages.
  3. Click the drop-down arrow for Sales form and select Pledge.
  4. Change the Email subject line.
  5. Click Save, then Done.

Please take note that it will not completely remove the word Pledge in the Subject line in the emailed transaction. However, following the steps above will let you add more details since QuickBooks will based it on how the company is setup.

Thank you for your reply.  And although you can technically change the subject line, QBO does not like that.  Please see screenshot attached of QBO telling me that the subject line must include the word 'Pledge'. 

 

If you change the subject line to Invoice and do not include the word pledge (trust me I already tried this), then they system does not cooperate.  For example, if you try to send any invoices without Pledge in the subject line (instead substituting Invoice where it says Pledge) the email recipient receives an email that looks like the second screenshot attached (notice that it would not update the merge field with the invoice number).  You can imagine how confusing that subject line would be to customers.

 
That being said, I do not require any further assistance.  After seeing several other threads trying to get this same situation solved, unsuccessfully, I decided the quickest and least frustrating way to solve the problem is to change our nonprofit status in the program - and viola!  Problem solved!
