Let me share some details about the message in the contactors W9 area.
It could be when adding a contractor, you put a checkmark the box beside (Email this contractor to complete their profile). With this, your contractor will receive an email and they can send information through the email.
Also, if your contractor did not receive the email, you can contact them directly and ask their information, then you can record it manually. I'll guide you how:

We have a lot of contractors and I'm not going to fill in everyones information manually, if Quickbooks should be prompting them to do it for me. It's a feature that I'm paying for to save me time.
This problem seems to only be happening when I invite people who already have an account with quick books.
After I send the invite to fill out the W9, I don't have the option to resend the invite. Instead, it tells me to contact them directly.
So are you telling me the intention is to "contact them directly" to collect their info and enter it manually? That doesn't make sense, considering they already have an account with Quickbooks...
I would have assumed they can accept our invite within their account, but they are all telling me nothing allows them to do so.
How dose a contractor who already as an account, accept our invite and send us their w9 through their account?
We've received similar reports from our customers that their contractors are unable to submit W-9 information through the link, danalynn220.
I've asked our software engineers here to look into this issue. Upon running a series of tests, we found out that the contractors can't proceed with processing their W-9 form sent via invite, unless all the boxes under the IRS Certification section are checked. The Next button will be grayed out if they've only selected one box.
I recommend informing your contractors about this investigation so that they can send successfully add their own 1099 tax information. They can check the email again, then fill out the necessary fields and digitally sign the form. Please make sure to let them know that they'll have to tick those three boxes in to able to click the Next button. Once completed, the information they've entered are saved in their account.
In addition, the program will automatically add their information and a PDF of the signed W-9 to their profile in your account. If the contractor updates their info at any time, QuickBooks will also automatically update it in your account.
