Buy nowHello,
We are looking at cleaning up our system by removing old vendors that are no longer used and I want to pull a report that lists vendors with the date of their most recent transaction. I tried using the Transaction List by Date and grouping it by vendor but it ranks the vendors by their earliest transaction date, not most recent transaction date.
Hi Andrea, it's fantastic to see you seeking the best solutions for your business. I'm glad to guide you on how to filter recent transactions by vendors.
But first, could you please tell me if your report is in classic or modern view? If it's in modern view, you can efficiently view and filter recent transactions by vendor by following these steps.
Here's how to filter the recent transactions:

Hello,
I tried using the Transaction List by Date but that report is not giving me the information that I want in a format that is usable. I'm trying to see just the most recent transaction of each vendor, not all the transactions of the vendors. Needing to click the drop down on each vendor to see when the transactions were is also an extra step that is taking time. When I export, it becomes even less usable as it shows all the transactions resulting in almost 50,000 rows.
What I need is to have an exportable list of vendors with only their most recent transaction date.
@AndreaMK Judging by the image provided by the staff member above, this report allows you to select a date range.
That being the case, I imagine you could narrow the report down to 2024 to present (or however far back you want the cut-off to be for old vendors), group it by vendor as you originally mentioned, and end up with a list of only the vendors you've used in the past year to date.
Any vendor not on the list would presumably be no longer used.
By sorting my active vendors based on transactions from a certain date doesn't provide me a list of old vendors who are not being used so it would create an extra step of trying to remove the current vendors from a list of all vendors to know who to delete. Sorting by transaction dates from example 5 years ago or older may have active vendors because some we've been using for a long time and could have transactions that show up in that report.

"What I need is to have an exportable list of vendors with only their most recent transaction date."
Sorry, but I don't think I'm following.
Even if there were a list of vendors with only their most recent transaction date that you could export, you would either end up going through a full list of your vendors and manually identifying which ones to delete or note delete, or you'd have to manually pare out the current or outdated vendors from said full list.
I don't think you're going to be able to avoid that extra step no matter how you go about it.
@AndreaMK The above being said, I guess @BigRedConsulting could have developed something that would help with this. I believe one of their specializations involves bypassing some of QB's reporting limits.
Another issue that I've run into is that when I export the Transaction report, even though viewing it on my screen in Quickbooks displays just the vendor name, when it exports all the transactions are listed out so the file ends up being very long.
Thank you for keeping the conversation going, Andrea. We appreciate your patience with the challenges you have encountered.
Regarding exporting your transaction report, we can perform browser troubleshooting steps to determine whether the issue is related to your browser. Let's start by logging in to a private browser, which doesn't store cache files that could potentially slow down web-based applications. Here are the shortcut keys for opening a private browser in different web browsers:
Alternatively, you can use any other supported, up-to-date browser to ensure the best experience with QuickBooks.
Also, after completing the browser troubleshooting, please refresh your data first and then proceed to export it. It’s important to refresh your data to ensure it is up to date.
Additionally, you can explore the following articles for further details on handling reports:
If you have any more questions about exporting your transactions in QBO, feel free to reach out again . Take care!
I'm using a desktop app for my QuickBooks online, not a web browser for access.
Thank you for verifying that you're using the QBO Desktop App, AndreaMK. I've got the steps appropriate to clear the data and clarification for the availability of the report.
Generating a vendor report displaying only the most recent transactions is currently unavailable. You have to manually check their last transaction date to identify current or outdated vendors. As per FishingForAnswers, although I recognize how time-consuming it can be, you need to determine which one to retain or inactivate.
Additionally, let's troubleshoot your QBO desktop app showing the vendor name only to reset the application to its original state. This way, the system starts fresh and is up-to-date. Here's how to do that:
Once done, restart your PC to clear its cache and improve performance. However, if the issue persists, it's best to uninstall and reinstall the app to restore its settings, ensuring it runs smoothly and efficiently.
Moreover, you can customize reports to tailor them accordingly.
