Retrieving Invoices with long descriptions

Many of our invoices have long (many hundreds of characters) descriptions. We need to export them in some machine readable form. As has been noted in previous inquiries the report writer is limited to 96 characters per column. Is there some other method that could be used to export all (or some subset) of invoices?

Retrieving Invoices with long descriptions

I'll help you with a workaround, mb_mk.

I see that you really need the full item description. While this option is not available, you can export the report to Excel. Then, copy the description from the transaction pages and paste them into the description fields (cell) of the items.

The procedure is manual, so if you have hundreds of transactions, you may want to consider the VLOOKUP function in Excel. It works like looking up the value of a certain text, so you won't have to manually enter them to each line item. You can find video tutorials on YouTube about VLOOKUP in Excel.

Let me know if you have other questions regarding your report. Check out more references for QuickBooks Desktop here.

I do no understand what you mean by the "transaction page" - could you please let me know how to find this.

I am unsure what you mean by "transactions page". Also are you suggesting a manual procedure - how will this be sensible for hundreds of invoices?

Retrieving Invoices with long descriptions

Hello again, mb_mk. I appreciate your input from every angle.

The workaround provided by my colleague JessT is a manual process. In which the transaction page he is referring to is, opening the invoice for you to copy the description so you could paste it into the Item Description cell of the items on the exported report.

I know how convenient it is to generate the complete details on the invoice when exporting. However, the workaround, as of now is to copy and paste the description. I can see how this feature would be beneficial to you and other businesses. While we continue to make your experience with us even better, in the meantime, I encourage you to visit the What's New section on your QuickBooks Desktop, to know updates with our latest news as well as product improvements.
