Should I use the merchant service screen or QB sales receipt to charge a customers card? What is the difference and the correct process for the first time? Thank you.

Also do I need their billing address for the credit card to be accepted? I appreciate it so much. I will be using this method for the first time soon.

Allow me to fill you in on everything you need to know about processing credit card payments in QuickBooks Online.

 

You can use both your merchant account or QBO to charge your customer's credit card. However, it's more convenient to use QBO when you want to process invoices or sales receipts for your customers. If you want to use QBO, you'll want to connect your Merchant Service account to your QBO account. Here's how:

 

  1. Click the Gear icon, then select Account and Settings.
  2. Go to the Payments section.
  3. In the Existing account section, choose Connect.
  4. Quickbooks will search for any Merchant accounts associated with your user id.
  5. Confirm that the correct Merchant account is listed.
  6. Select Link account to link the account.

Hello Mark. Under Accounts and settings, payments, I do see my bank account listed. Does this mean I am connected to charge a card on a sales receipt? Also, at the top is my merchant id number with a green button. I click the button and it takes me to my QB merchant account with tools at the top to charge a card as well. It does indicate that " Transactions processed via the merchant service center cannot be downloaded to QuickBooks". If I charge a card on this screen, will it show up in my bank feed? I'm just not sure which one to use. I suppose the sales receipt would be easier.

I'll share additional details about processing payment through the Merchant Service Center screen.

 

Yes, you're correct. If your bank account is listed in the Payment area, you'll be able to charge a card on a sale receipt.

 

The answer to  your second questions is yes. The transactions will show up in your bank feeds. However, if you process payment directly through the Merchant Service Center, you'll have to manually record those payment in QuickBooks since merchant service will not download them to QuickBooks.

 

Processing invoice payments or sales receipts for your customer is easier in QuickBooks Online. This way, you'll be able to match transactions as soon as they appear in your bank feeds.

Is the QB merchant service screen similar to Auth.net?  If I charge a card on Auth.net I receive an email with the authorization.  Then I can receive payment in QB with this authorization number as the payment number to the customers invoice or receipt. I was just curious if it was the same. 

One more question.  Do I need the customers billing address and zip to process the credit card?

Would you give me a crash course on different payment options that QB supports? I've been asked if I take all different kinds of payments.  Examples: PayPal, square etc. Does QB support these companies? And if so how does that work? And Some companies I've never heard too. 

 

I'm set up in QB payments.  My small bank is listed in my QB payments account. I don't think my bank has merchant services.  I have not yet charged a credit card.  Does QB payments have merchant services and gateway all built in as one?  

I apologize for all the questions.  I just want to educate myself so that I can accommodate my new customers.  Thank you so much.  QB community is great

The process of QuickBooks Payments is also the merchant service itself. With this, you can do more than just track your accounting; you can process customer payments too.

 

If you already use an external payment processing service, like Square, we have apps that sync your data with QuickBooks. However, the easiest way to process payments and track the accounting is with QuickBooks Payments. Learn more about compatible external payment options.

 

You can accept payments using a credit card, debit card, and ACH bank transfers for invoices you send and sales you make. It is always just the way to let customers pay, no matter how or where you work.
