Single Time Activity

QB Online Plus without Payroll is what my company uses.  I'm wondering, without the Payroll add-on service, what would happen "behind the scenes" if I enter data?  For instance: would it change anything on the P&L or anywhere in the Chart of Accounts or leave entries "hanging" in the Employees section?

 

I'd like to use it to record our Time & Motion study data.  The data fields and the reports are perfect for doing that but I need to be sure that it isn't affecting anything.

I can help share additional insights regarding the Single time activity in QuickBooks Online.

 

The other use for this feature is when you have a time billable for the customer. But, this will not affect your P& L and Chart of Accounts since it is non-posting. Also, this will not affect payroll because you're not using payroll service in QBO.

 

You can enter billable time through the Single activity timesheet, run a report (Time Activities by Customer Detail Report), and export it to Excel so you can use it as a spreadsheet. You can learn more information about this via this article: How to enter billable time by job.

Thanks for checking in with us, CL25. 

 

Once you cancel your Online Payroll account, it will not affect the Profit and Loss report. However, once we turn it off, it will not automatically calculate, file, and pay your payroll taxes for you. Aside from that, you'll need to manually enter time cards or information in the Single Time Activity section.

Single Time Activity

My question is in regard to the Single Time Activity entries. If I don't have/never had Payroll, what exactly would entering data in the Single Time Activity screen do?  I also do not use or want to turn on Projects. I'd like to use this like a spreadsheet or database that's not connected to QB and therefore not creating any payroll, P&L, Chart of Accounts entries.  Does that make more sense?  I've been trying to explain this in the Chat for days and no one seems to understand my question. Thank you.

This is exactly what I needed to know.  Non-posting!  That's the magic word I have been looking for.

If the client is using Payroll services, will the single time activity use affect payroll?  If the time is never 'approved' I would think it would still be a non-posting information?

Let me share additional insights about using the single time activity option in QuickBooks Online.

 

Yes, you got it right. If the time isn't approved, this will be considered as non-posting transaction. Know that the single time active will only affect the payroll once it has been run. Any pending entries won't affect your data even if with or without payroll.

What if you have payroll and are adding time that is in the past, meaning the payroll has already been processed. Will adding single time activities still be non-posting?

You're on the right track, single or weekly time activities entered without linking them to payroll is a non-posting transaction. This means, all the time activities will remain on your list for record-keeping and will not affect your financial reports.
