uploading a budget into QB Pro from Excel using classes

I recently viewed a video describing how to upload an Excel budget file into QB Desktop using the Utilities export/import function.   However, it is not clear to me how I do this with classes.  One account will be spread by month by 6 classes.  Can this be done using the iff template?

Hello there, @pmac.

Thanks for choosing QuickBooks Pro as your accounting tool. I can help you upload a budget into QB Pro from Excel using classes.

Great news! Aside from being able to upload budget, you can also assign classes to them. There are specific heading for the budget template. Just make sure to follow the heading and map the information correctly.

You can refer to the screenshot and articles below for more insights.

Here are the steps in uploading Intuit Interchange Format (.IIF) files:

  1. Click File.
  2. Choose Utilities.
  3. Select Import.
  4. Click IFF Files.

That should keep you going today, @pmac.

Let me know if there's anything else you need or you have follow up questions about IFF. I'm still here to help you more. Just drop a comment. Wishing you all the best!

Do I upload a different budget by month for each class?

Hi there, @pmac.

Thanks for getting back to us. I'd like to share some additional information about uploading a budget in QuickBooks Desktop.

To answer your question, yes. You can upload the budget for each class by month or one budget per class to to ensure you imported the correct transactions and to avoid issues in the future.

You can follow the steps provided by my colleague above on how to upload using the .IFF files.

For future reference, you may want to check this article: Create a budget in QuickBooks Desktop.

uploading a budget into QB Pro from Excel using classes

Hi There - I see the comments on here saying that it is possible to export and import a budget by class by month, but I would appreciate more guidance. The links provided didn't discuss classes really, just the budget and forecasting overall.

We typically base our budget by month by class (we have 20 classes) and use the last 12 months that we closed (for example we are a 9/30 year end and use 8/1-7/31 for our budget period, because we prepare our budget in Aug/Sept and obviously can't use the entire current FY when Sept is not available yet and August isn't hard closed.

Can you provide further technical insight here? Whenever I revisit this functionality of importing and IIF files and exporting/uploading, it does not seem to be made to work with classes, by month.

Thank you in advance for your help!

Hi - Can you please provide further guidance for exporting a budget by class by month using the prior 12 months of closed data (not necessarily a fiscal year) and then importing/uploading that budget by class?

I can be more specific with dates and times, but I cannot figure out how to use the budget import/export and IIF files with our 20 class budget process by month.

Thank you in advance for your help :)

Thanks for joining the thread, @lbrown-citymission.

In QuickBooks Desktop (QBDT), we can customize the budget report to the specific month.

Here's how:

  1. Go to the Reports menu.
  2. Hover over Budgets & Forecasts, and then choose Budget vs. Actual.
  3. From the Budget Report window, click the drop-down arrow.
  4. Choose the specific account you want to run and then Next.
  5. Click the Select a report layout for the budget report drop-down arrow, then choose Account by Month.
  6. Select Next.
  7. Click Finish to create the report.

Once done, click the Print drop-down arrow from the Profit & Loss Budget vs. Actual. Then, choose Save as PDF. After that, create the File name and then click Save.

To import those PDF, you can visit to this link: Export or import Intuit Interchange Format (.IIF) files.
